How to Set Up a Rota for a Staff Member

Easily manage staff availability with recurring or one-off working hours

Setting up a staff rota helps manage staff availability. Follow the steps below to add working hours for any staff member.


1. Access the Staff Profile

From the admin dashboard, go to the ‘Staff’ section via the ‘Settings’ menu.
Click ‘Edit’ next to the staff member you want to update.


2. Open the Rota Tab

Within the staff profile, select the ‘Rota’ tab to access working hours.


3. Click “Add New Time”

Click the “Add new time” button to begin creating a new working time slot.


4. Choose the Day or Date

Use the dropdown menu to select when the rota entry should apply:

  • Day of the week (e.g. Monday) – applies every week on that day.

  • Exact date (e.g. Wednesday 14/05/2025) – ideal for one-off shifts or exceptions.


5. Set Start and End Times

Enter the staff member’s start and end times using the provided fields.
You can add multiple time blocks for the same day if needed (e.g. split shifts).


6. (Optional) Delete a Time Slot

To remove a slot, click the bin icon next to it.


7. Repeat as Needed

Click “Add new time” again to add more entries for other days or specific dates.


8. Click 'Save Changes'

Click the 'Save Changes' button in the top right to complete.


This feature supports both recurring weekly schedules and ad hoc one-off availability, giving you full flexibility over your team’s working hours.
