How to Set Up a Message Automation

Step 1: Open the Automation Tool and add a new message

Go to Settings → Message Automation


Click Add New Message

and give your automation a name (e.g. “Payment Overdue”).


Step 2: Choose a Trigger

Select the event that will activate the message. Available triggers include:

  • Joined as prospect

  • Started membership

  • Last visit / Every visit

  • Payment overdue

  • Booking made / Every booking made

  • Attendance / Every attendance

  • Membership expiry

  • Member’s birthday

  • Sales funnel stage changed

  • Club event attendance (for members or guests)

  • Product Purchased

You can also define when the trigger should activate (e.g. 7 days after last visit, or 14 days before membership expiry).

What’s the difference between "Lifetime" and "Since Trigger"?

This setting only matters when you're using a count, like “number of activities attended.”

  • Lifetime: Only triggers once.
    Example: If you set it to trigger after attending 10 activities (Lifetime), it will trigger the first time the member reaches 10 activities — but not again after that.

  • Since Trigger: Keeps triggering every time the count is reached again.
    Example: If you set it to trigger after 10 activities (Since Trigger), it will trigger at 10, then again at 20, 30, 40, and so on.


Step 3: Set Conditions

Choose whether the automation should apply to:

  • All members

  • Specific membership plans

  • Prospects only

You can create tailored automations for different member types or stages of their journey.


Creating Your Message or Task

Once your trigger is set:

  • Write the message you'd like to send (email or SMS)

  • Or assign a task to a staff member or team (e.g. a call or follow-up)

  • Use personalisation shortcodes to insert names, plan details, and more

✉️ Remember: These messages are fully automated. Review carefully before saving to ensure accuracy and tone are appropriate.

When you're ready, click Save Changes — your automation will go live immediately.

  • Welcome new joiners with a personalised email

  • Send reminders 1 day before class bookings

  • Follow up automatically on overdue payments
