Customising your email layout template

How to edit your Layout Template in ClubRight, the master wrapper that controls branding for every automated email you send.

The Layout Template is the master wrapper used by every other automated email ClubRight sends on your behalf. Anything visual or branded that you want to appear consistently across every email (your logo, your colours, your header, your footer, your contact details) lives in the Layout Template. Edit it once, and every email picks up the new look automatically.

⚠️ Important: customising the Layout Template is more technical than editing the other email templates. Because changes here apply across every automated email your club sends, mistakes can have a wide impact and be difficult to undo. We strongly recommend that someone with the relevant expertise (such as a marketing team member, web designer, or email developer) undertakes these changes. If you are not confident with this kind of work, contact Customer Success before making significant edits.

What the Layout Template controls

The Layout Template controls the elements that should appear consistently across every email, regardless of what each individual email is about:

  • Your club logo

  • Your brand colours, used for headers, buttons, and accents

  • Your fonts and typography

  • The header section at the top of every email

  • The footer section, which typically contains contact details, address, and links to your website or social accounts

What the Layout Template does not control is the specific wording or content of each email. That lives in the individual email templates (Welcome Email, Booking Email, and so on). The Layout Template wraps around that content.

How to edit the Layout Template

For the person undertaking the work:

  1. From the burger menu, click Settings

  2. Select Email Templates

  3. Choose ** LAYOUT TEMPLATE from the list (the asterisks flag it as the master template)

  4. Update the elements you want to brand: logo, colours, header, footer, contact details

  5. Save your changes

Once saved, every other email template in ClubRight picks up your new layout automatically. You do not need to edit each email individually to apply branding.

⚠️ Important: leave any system commands or merge tags in place when editing the Layout Template. These are short codes that get replaced with real data when the email is sent (the email body, member names, club details, and so on). Removing them will break the content of every email that uses the layout.

Test your changes before going live

Once you have saved your Layout Template, send yourself a test to see how it looks in a real inbox. Trigger an email like booking a class, freezing a test plan, or making a small till purchase against your own member account, then check the resulting email. Because every email now uses your layout, a single test gives you a good view of how all your automated communications will look.

💡 Helpful tip: keep your logo and header simple and clean. Complex visuals can render unpredictably across different email clients and devices, so a straightforward design tends to look best everywhere your members read their email.
