A guide to the reports in the Reporting section

What each report in the Reporting section shows, covering operational, communications, and accounting reports.

The Reporting section holds the accounting, list, and operational reports that are not built into another part of ClubRight. You reach it from the bar chart icon in the left menu. It opens on Business Health & Reporting, which tracks memberships, revenue, retention, and operational metrics across your club. This article explains what each report shows so you can go straight to the one you need.

Most reports share the same controls at the top: a date range with quick options such as Today or Last Thirty Days, a Refresh button, and Export CSV and Print buttons.

⚠️ Note: Not every report listed here will be available to every club, as it depends on your ClubRight subscription. If a report is not listed in your account and you would like access to it, click the orange chat button to talk to our Customer Success team.

⚠️ Note: Attendance and member analytics are not in the Reporting section. Attendance lives in the Diary under Insights, and member analytics live in the Members dashboard. Richer revenue and payment reporting also lives in the Payments section. See the report locations article for the full picture.


Operational reports

To see your team's tasks, open Tasks. The Task Report shows a summary of how many tasks were completed on time, completed but overdue, or still overdue, followed by a breakdown of each task with the member it relates to, the due date, who it is assigned to, and the completion date.


Communications: lists and outputs

These reports list the messages and emails sent to your members.

  • To see every message sent in a period, open Messages. It lists each message by type (email or system), date, member, and subject.

  • To see how your bulk emails performed, open Bulk Emails. It shows each campaign with the number of recipients, openers, clickers, and unsubscribers, and a View Report link for the detail.

  • To find emails that did not reach members, open Failed Emails. It groups failures into Permanent Rejections, Transient Rejections, Undetermined, and Complaints, with the member, email address, date, and extra detail for each.


Accounting reports

These reports cover payments, takings, payroll, products, and forecasting.

⚠️ Note: Card Payment Portal and Card Balance only appear if your club uses the ClubRight Pay card. If you do not see them, that is why.

  • To manage your card payments, open Card Payment Portal (ClubRight Pay card only). It shows your payable funds and next scheduled payout, with tabs for Payments, Refunds, Disputes, and Payouts, and the option to pay out now or get a reconciliation report. Much of this is also available in the Payments section.

  • To check your card balance, open Card Balance (ClubRight Pay card only). It shows your ClubRight balance, payable funds, the next scheduled payout, and any pending amount.

  • To see takings through the till, open Till History. It shows a total for the period split by payment type (cash, PDQ, card, cheque, ePoints, discounts), followed by each transaction with the member, products, price, payment method, and staff member.

  • To review overall trading performance, open Operating & Performance Report. This is the most detailed report. It compares a period against the one before and covers till totals by payment type, all membership payments, product sales, session credit sales, total through till and total revenue collected, new prospects, sign-ups, cancellations, net gain and active memberships, expected recurring and upfront payments, a product and session credit sales summary by nominal code, individual till transactions, member payments received, and cancelled memberships.

  • To see what you have collected, open Membership Collections. It shows recurring collections and till transactions for the period, with a collection success rate.

  • To list your recurring memberships, open Active direct debits. It lists active Direct Debit memberships with the member, reference, plan name, start date, and next amount.

  • To see how each member pays, open Active member payment methods. It lists members with their payment method and provider references, useful for reconciling against your payment provider.

  • To project future income, open Membership forecasts. It charts your expected membership payments over the next six months, split into ongoing and in-contract payments.

  • To spot members nearing an age limit, open Approaching Age Limit. It lists members who will reach their plan's age limit within the next 90 days, with an option to filter by plan.

  • To see what each member is worth, open Member value report. It shows each member's value from memberships, product sales, and activity sales, with totals across the club.

  • To break down product income, open Product sales report. It shows products purchased in the period grouped by product group and by nominal code, with net, VAT, and total figures.

  • To trace purchases of a single product, open Product purchase detail. You choose a product and statuses to include, then see the member purchases for that product over the date range.

  • To check your stock, open Stock Levels. It lists each product with its warning stock level and current stock level, highlighting items at or below their warning level.

  • To calculate staff pay, open Payroll (by attendance) or Payroll (by activity). Each shows staff with their total duration, hourly rate, and period pay, and a breakdown of the sessions or hours behind it. Use the attendance version to pay for time on site, and the activity version to pay for classes delivered.

  • To review text message use, open SMS report. It shows the SMS messages sent in the period.

  • To track loyalty points, open Epoints Report. It shows total ePoints allocated, spent, the net change, and the current balance across all members.

  • To see sales by staff member, open Sales Report. It shows total sales for the period and a breakdown per staff member, with the member, sale type, date, and total for each sale.

💡 Tip: Every report can be exported with Export CSV or sent to your printer with Print, so you can share figures with an accountant or keep a record outside ClubRight.
