Member reports and analytics in the Members dashboard

Where to find member analytics, retention and at-risk reports, and member data lists in the Members dashboard.

Your member analytics live in the Members dashboard, not the Reporting section. Open Contacts from the left menu and select Members. The reports sit in the left rail, grouped into Activity & Growth, Retention & Risk, and Member Data. This article explains what each one shows so you can go straight to the figure you need.

Most views share a date range across the top (This Week, This Month, Last 3 Months, Last 12 Months, or Custom) and a Plan filter so you can narrow to a single membership plan.

⚠️ Note: Not every report listed here will be available to every club, as it depends on your ClubRight subscription. If a report is not listed in your account and you would like access to it, click the orange chat button to talk to our Customer Success team.


At the top of the dashboard

The main Members view opens with summary cards for the period: New Members, Cancelled, Net Gain, Sleeping Members (paying members not seen for 30 or more days), and your Retention Rate, each compared to the previous period. Below them are a Membership Status Breakdown chart and Active Memberships by Plan.

Down the left, under Status, you can filter the member list by All, Active, Unpaid, Frozen, Expired, or Cancelled, with a live count against each.


Activity & Growth

These reports show how your membership base is growing and how members are using the club.

  • To see an overview of growth, open Summary. It shows the headline figures and charts for the period in one place.

  • To see how members are split across plans, open Plan Breakdown. It shows your active membership breakdown by plan type, so you can see where members are distributed.

  • To see who is using the club, open Visits. It shows who is in right now, visit totals for the period, unique members, average duration, peak hour, and daily and day-of-week visit trends.

  • To see recent joiners, open New Members. It lists members who recently joined, with their plan, start date, any bolt-ons, and amount paid to date, so you can check they are settling in and their payments are set up.

  • To see who renewed, open Renewed. It lists members who renewed their membership in the period.

  • To see who is referring others, open Referrals. It lists members who referred others and a count of referrals per referrer, so you can reward them.

  • To measure how long members stay, open Length of Stay. It groups memberships by plan and shows each member's start and end dates, duration in days, and amount paid to date, with an average per plan.


Retention & Risk

These reports flag members who may be at risk of leaving, so you can act before they cancel.

  • To see your highest-risk members, open Red Alert. It lists members showing the strongest signs of leaving.

  • To see early-warning members, open Amber Alerts. It lists members showing softer signs of risk.

  • To find quiet members, open Sleeping Members. It lists paying members who have not checked in for 30 or more days, with their last visit, plan, start date, paid to date, and payments due, so you can reach out before they cancel.

  • To see members due to expire, open Expiring Soon. It lists members whose membership is approaching its end date.

  • To find lapsed members worth re-engaging, open Win-backs. It lists former members you could target to return.

  • To track retention over time, open Retention Trends. It shows how your retention is moving across periods.


Member Data

These lists pull specific member details for day-to-day admin.

  • To find upcoming birthdays, open Birthdays. It lists members with a birthday in the period, with contact details, so you can send a message or offer a treat.

  • To see outstanding credits and bolt-ons, open Credits & Bolt-ons. It lists members with credits remaining or active bolt-on products, with the product or class, credits remaining, and expiry date.

  • To chase email verification, open Verification. It lists members who have not verified their email, with a Send Message option to prompt them.

  • To review member achievements, open Awards. It lists member awards and achievements, including any pending review.

  • To check health questionnaires, open ParQ. It shows PAR-Q submissions with each member's plan, status, start date, and when their form was completed, so you can spot missing or expired forms.

  • To focus on health risks, open High-risk PAR-Q. It filters to members whose PAR-Q answers flag a higher health risk.

  • To print address labels, open Label Print. It prepares address labels for the selected members.

💡 Tip: The Plan filter at the top right of most of these views lets you narrow any report to a single membership plan, which is useful when you want to act on one group of members at a time.
