Can I change the email address receipts are sent from?

Why your club's emails and online payment receipts come from a mail@….crmail.uk address, why you can't change it, and where member replies go.

No, you can't change the email address your club's emails and receipts are sent from, and ClubRight support can't change it on request either. Every email your club sends through ClubRight, including the receipts members get when they pay online, comes from a sending address in the format mail@yourclub.crmail.uk. Members see your club's name as the sender, and when a member replies, the reply comes into your Conversations in ClubRight, so nothing is lost.

Why is my sending email a crmail address?

Your sending email (sometimes called the "from address") is created automatically from your club's ClubRight web address. It is always mail@, then your club's web address name, then .crmail.uk. For example, if your ClubRight web address is yourclub.clubright.co.uk, your emails are sent from mail@yourclub.crmail.uk.

Which emails use this address?

Your club uses the same sending address for every email it sends through ClubRight, including:

  • receipts sent when a member pays online

  • till receipts

  • booking, waiting list and membership emails

  • emails you send to members yourself, individually or in bulk

What happens when a member replies?

When a member replies to one of these emails, the reply comes into your Conversations in ClubRight, not a separate email inbox. The crmail address isn't a mailbox you can log in to or add to your phone or email app.

  • If the reply comes from the email address on the member's profile, it's added to that member's conversation.

  • If it comes from an email address that doesn't match a member, it appears as its own conversation under that email address.

  • If more than one member has the same email address on their profile, the reply may be added to one of the other members' conversations rather than the one you emailed.

You'll also see new member messages in the Messages widget on your dashboard.

To read and reply to a member's message:

  1. From the burger menu, click Communication

  2. Select Conversations, then choose Incoming Only to see messages waiting for a response

  3. Click the conversation to open it, then reply through Chat, Email or SMS

The path is Communication > Conversations. For more detail, see Responding to messages in Conversations.

Getting member replies in your own inbox

If you'd rather be told about replies in your usual email inbox, you can have them emailed to you as well:

  1. From the burger menu, click Settings

  2. Under Communications, select Messaging

  3. Turn on Email managers when members message so your Managers and Owners get an email whenever a member messages you

  4. To send a copy of every incoming message to another address, such as your club's own email, enter it in the Also forward messages to field

The path is Settings > Communications > Messaging. Changes save automatically. Also forward messages to only sends a copy of incoming messages. It doesn't change the address your emails or receipts are sent from. To keep the full history in ClubRight, reply to members from Conversations. For more detail, see Configuring your messaging settings.

Showing members your own email address

You can't change the sending address, but you can make sure members know how to reach you directly:

  • Add your email address to your emails. Put your club's own email address and contact details in your Layout Template footer (Settings > Email Templates, then ** LAYOUT TEMPLATE). It then appears on every automated email, including receipts. Email template customisation is available on certain ClubRight packages. See Customising your email layout template.

  • Update your message signature. In Settings > Communications > Messaging, change the signature under What goes at the end of messages? to include your contact details.
