If you already use an AI tool such as ChatGPT or Claude, you can connect it to ClubRight. You can then ask about your members, classes and payments, and let it make everyday changes for you, from the chat you already use. It works with any AI tool that can add a remote MCP server with OAuth sign-in.
ClubRight doesn't charge for this. You'll need your own subscription to your chosen AI tool, which you arrange directly with that provider. You can find more about the connector on our AI tools page.
⚠️ Important: connecting an AI tool shares your members' data with that AI provider. Please read Data protection below before you connect.
Who can use it
Connecting your own AI tool is included on the Complete package, and you'll need Owner access or higher in ClubRight. On other packages, you'll see the option greyed out.
If you're on a different package and would like to use it, click the orange chat button to talk to our team.
How to connect your AI tool
Go to Settings > Integrations.
Under AI assistants, open Claude, ChatGPT and other AI tools.
On the Connect your AI page, click Copy to copy your connection link. The same link works in every AI tool.
Under Which AI do you use?, choose your AI tool and follow the steps shown. They're also below.
Claude
In Claude (on the web or the desktop app), go to Customize > Connectors.
Click Add and choose Add custom connector.
Call it ClubRight, paste your connection link into MCP server URL and click Continue.
Your ClubRight sign-in opens. Sign in as you normally would and choose Allow access.
In a new chat, check ClubRight is switched on in the tools menu, then ask away.
⚠️ Note: on a Claude Team or Enterprise plan, only an owner of your Claude organisation can add a custom connector. Ask them to add it, then connect it for yourself.
ChatGPT
In ChatGPT, go to Settings > Plugins and click Browse directory.
Click Add and choose Create custom MCP server. It's added as a plugin.
Call it ClubRight and paste your connection link into Server URL. Leave Authentication as OAuth.
Tick I understand and want to continue, then click Create.
Your ClubRight sign-in opens. Sign in as you normally would and choose Allow access.
Other AI tools
In your AI tool, find where you add a connector. It may be called a custom connector, an integration or a remote MCP server.
Call it ClubRight and paste your connection link as the server URL. If it asks how to sign in, choose OAuth.
Your ClubRight sign-in opens. Sign in as you normally would and choose Allow access.
If you manage more than one club
Connect once, then tick each club you want your AI tool to work with on the Allow screen. For a club to appear, it must be on the Complete package and you must have Owner access or higher there, using the same email address.
What it can and can't do
Your AI tool can look up:
members, their memberships, payment history, visits, bookings and messages
who's overdue, failed payments, and how members pay
your timetable, bookings, attendance and how full your classes are
your retention lists and members most likely to leave
reports on new joiners and cancellations, and your dashboard figures
leads in your sales funnel, your tasks and your automations
It can also:
add or edit a member, and add or edit notes
freeze or unfreeze a membership
book members onto classes, cancel bookings and manage waiting lists
add class types, membership plans and products
create, assign and complete tasks, and add or remove member tags
move leads through your sales funnel
send one email or one text to a member (texts use SMS credits), or resend a welcome email
It can't delete members or anything else, start or cancel a membership or change how it's billed, take payments or give refunds, add classes to your timetable, send bulk emails or texts, change or approve automations, or change your club details, opening hours or payment settings.
💡 Tip: ask your AI to show you any email or text before it sends it.
Data protection
⚠️ Important: when you connect Claude, ChatGPT or another AI tool to ClubRight, member information from your account is passed to that tool whenever you ask it something. Your club stays responsible for that data, so a few habits are worth building in.
What your AI tool can see and do
Your permissions apply. Only logins with Owner access or higher can connect an AI tool, and it can only see and do what that login allows. Don't share logins, and set up two-factor authentication on both ClubRight and your AI account. If someone with a connected login leaves, remove their connection.
Owner logins have the widest access. If your login can see everything in ClubRight, so can the AI tool you connect with it. Take extra care about what you ask for and where the conversation is stored.
Notes can contain sensitive information. Your AI tool can read the notes on member records, within your permissions. ClubRight doesn't have fields for medical records, and health questionnaires such as ParQ responses aren't available to your AI tool. But if you or your team have written health details in a note, such as an injury or a condition, your AI tool can see them. Health information is special category data under UK GDPR, so it needs extra care. Keep health details out of notes unless you need them, and avoid asking your AI tool to pull up or summarise notes for many members at once. Anything it reads becomes part of that conversation in your AI tool.
What's recorded
Changes appear under your name. Anything your AI tool changes in ClubRight shows in your audit trail as an action by the user who made the request. The audit trail doesn't separate changes made through your AI tool from ones made by hand, so review what it has done, especially after bulk or repeated requests. ClubRight also keeps a record of connector requests for 30 days. That record doesn't include what you typed to your AI tool, because that never reaches ClubRight. That conversation stays with your AI provider, so check their history and deletion settings.
Good habits
Know who holds what. ClubRight processes your member data on your behalf. Once it reaches your AI tool, it's handled under your agreement with that provider, not with ClubRight. Check the terms of the plan you use, particularly whether your conversations can be used to train their models. Business and team plans generally offer more control than free personal ones, but settings vary, so check yours.
Ask for what you need. Pull the information the task requires and no more. "Who's overdue, largest first?" is better than asking for everything about every member.
Check before you send. Review anything your AI tool writes before it goes to a member. Don't send marketing messages to members who haven't agreed to receive them, even if the AI makes it quick.
Tidy up. Delete chats that contain member details when you're done, and don't paste exported member lists into a chat.
Keep your privacy notice current. If you use AI tools to work with member data, make sure your privacy notice reflects that you use third-party service providers.
Check international transfers. Some AI providers process data outside the UK. Check that yours has appropriate safeguards in place.
Removing or reconnecting
To remove a connection, go to Settings > Integrations, open Claude, ChatGPT and other AI tools, and click Remove next to it under Connected AIs. Your connection will be disconnected within the next 60 minutes.
If your AI tool stops answering questions about your club, remove the connection and connect again using the steps above.
Getting help
Your AI tool can't contact ClubRight support or open a support request for you. If you need help, click the orange chat button in ClubRight, or ask Milo.
