The following templates will help you put together your planned communications for chasing up overdue payments.

Email Template 1

Overdue Payment 1 Email Template

Example “Email” template that could be used following a “Trigger” (Which could also be amended to suit your business model and T&C’s)

Set-up Instructions (Below)

Description: Unpaid Email 1

Relative to: Payment overdue

After: 2 Days

Active Membership: Any

Number of visits: 0

Number of activities attended: 0

For activity: Any activity

Subject Title = Re: [Business Name] - Missed payment

Dear [FirstName],

Hello, how are you?

This is just a quick email to let you know that we have been unable to collect your recent payment due for your membership at [Business Name]

We presume this was not intended and we would therefore like to suggest a few ways that you can bring your account with us back up-to-date.

Option1: Visit your members area by clicking on the link below and then log-in (There is a forgotten password button there should you need it). You will then be prompted to an “Overdue Payment” screen, which you will be able to pay online using a debit/credit card - https://app.clubright.co.uk/c/[BusinessName]

Option 2: Visit us in club and pay what is due over the counter, by cash or card.

Option 3: Email us by return to ask us to retry the Direct Debit collection

Unfortunately, as your Membership payment is due, you will not be able to attend the facility &/or book in for any activities until this has been brought back up-to-date.

Should you wish to discuss your membership at [Business Name], please call us directly on 01234 567890 and we would be happy to help.

Thank you for your time and we look forward to seeing you at [Business Name} real soon.

In follow-up to our email (& SMS) the other day, we are writing again to inform you that your Membership payment at [Business Name] is still due.

As you may have been away on holiday &/or have been unwell, we appreciate that this communication may have been missed. We are therefore writing to let you know how we can easily help you bring your account back up-to-date (Please see the different options below).

Option1: Visit your members area by clicking on the link below and then log-in (There is a forgotten password button there should you need it). Dear [Name],

It is disappointing to have not heard back from you in regards to your membership here at [Business Name] and your payment remains due.

We will attempt to make a further collection, as per your subscription and should that be successful, you will only be outstanding the previous payment. If it is unsuccessful as well, you will then owe for 2x payments.

To resolve any payment that is due, see below the different options where you can bring your Membership payments back up-to-date.

Final Overdue Payment Email

Active Membership: Any

Number of visits: 0

Subject = Re: [Business Name] - Payment Required

Dear [Name],

It is with regret that as we have not heard back from you to our previous correspondence, throughout last Month and your Membership Payments remain overdue, we have no choice but to cancel your Membership here at [Business Name].

We have cancelled any further recurring billing for your subscription, but the money you owe is still outstanding against your name. Therefore, should you ever wish to join [Business Name] again at any time in the future, this may need to be settled before you are allowed entry. We may even insist on you paying upfront on an annual basis to avoid the above from happening again.

As you are no longer a member at [Business Name] you will not be able to attend the facility &/or book in for any activities until you re-join as a member and subject to our discretion pay what is due from the previous membership.

IMPORTANT NOTE
These are template ideas that can be easily adapted for your own use in your business. We would strongly recommend following the number of automated emails plus SMS messages as these in our experience tend to be the most successful way of keeping your members payments up to date.
