ClubRight Hardware Catalogue

The hardware that works with ClubRight, what each item does, and what you need to run it.

ClubRight works with a range of front desk and access hardware, all tried and tested to work with the platform. This article explains what each item is for and what you need to run it, so you can decide what suits your club.

What you need to run ClubRight hardware

Most ClubRight hardware connects through the Welcome Screen application, the free desktop app that links physical devices to your ClubRight account. A few requirements apply across the board:

  • The Welcome Screen app runs on Windows 10 or above. It is not compatible with macOS.

  • Each connected device needs its own spare USB port. If you use both the scanner and the till drawer, you will need two spare USB ports.


QR and barcode scanner

A 2D QR and barcode scanner sits on your front desk and reads both digital codes (from a member's ClubRight app) and physical ones (from a key tag or membership card). When a member scans in, the Welcome Screen registers their arrival and automatically checks that they have an active membership and are up to date on payments. Members can also use it to check themselves in to a pre-booked activity, as long as they scan within 30 minutes of the start time.

The scanner connects by USB to a Windows device running the Welcome Screen app.

💡 Note: This scanner is for front desk check-in. It is not designed to be connected to a physical door lock, turnstile, or gated access. For those, see the integrated access control section below.


Branded key tags and cards

Branded key tags and membership cards carry a physical barcode that members scan at the front desk to register attendance, working the same way as a scan from the app. They are produced and supplied by a ClubRight approved supplier.

  • Ordering and payment go directly to the approved supplier, not to ClubRight. Contact Customer Success using the orange chat button and they will introduce you to the supplier.

  • To read the tags or cards, you need a QR and barcode scanner connected to a Windows device running the Welcome Screen app.


Till drawer and receipt printer package

The till drawer and receipt printer add security and speed at your front desk. Each time you complete a sale through the point of sale in ClubRight, the drawer pops open and a customer receipt prints. These two items operate as a pair and are not sold separately.

The package includes:

  • A lockable till drawer with money tray

  • A receipt printer and connection cables

  • A starter roll of receipt paper (refill rolls are not included)

The till drawer connects by USB to a Windows device running the Welcome Screen app.


Integrated access control

ClubRight integrates with approved access control suppliers who can fit turnstiles and internal or external doors. Everything to do with the physical access control setup is handled by the supplier, not by ClubRight.

Once a system is installed, you connect it through the Welcome Screen app on a Windows device, and the supplier will test that everything works.

💡 Top tip: For access control, use a dedicated Windows PC (not a laptop, which can overheat) with at least 6GB of RAM. Leave it switched on with automatic updates turned off, and use a stable wired internet connection. Keep it close to the door hardware, and avoid sharing that connection with member wifi. This all helps speed and reliability.


Ordering, warranty and returns

To place an order, or if hardware supplied by ClubRight stops working, contact the Customer Success team using the orange chat button in your application.

  • Warranty: hardware purchased through ClubRight comes with a 12 month manufacturer's warranty from the date you receive it.

  • Returns: you can return an item in its original, resaleable condition within 14 days of receiving it. ClubRight arranges collection, and refunds the item in full once it is received and confirmed as new. Delivery charges are not refunded.

  • After 14 days, returns are only accepted for faulty items within the warranty period.

💡 Note: Key tags, cards, and fitted access control are bought directly from approved partners, who may have their own warranty and returns terms. Check with them directly for those items.
