Your Customer Data

When it comes to your existing Customer/Member data it is important that we work together on this to ensure that correct data is imported into your new ClubRight system. We ask a few questions as part of this process as there is no one that knows your customers better than you do as the business owner.

You will be asked to provide us with a breakdown of your customers, including the number you expect to see once we have uploaded them into your system. This data will need to supplied to us in a CSV or Excel format

We will only import the data that we are given and complete the upload once, as reimporting will very likely mess up the data and we strongly advise not doing this. If you ask us to do this, ClubRight cannot be held responsible.

In simple terms if we for example purposes only get something like this

Customer Name, Membership name but no address, no amount, no collection date, no email

It will not be possible for us to import this data as it is incomplete as we would not know what the customer has bought from, how much they pay and when they are due to pay.

We are here to help you throughout the process, so no need to worry at all, but we want to make it clear we cannot create data that has not been provided to us

Data Import Notes

When giving us your customer data, please let us know and we will provide you with a secure Dropbox link (or similar) so that you can upload this securely to us. Sensitive/Personal data must never be sent to us via email, or on the Orange Button. We advise that if you keep a version saved on your device that you must password protect it.

Please note: Any customer data that you give us becomes immediately out of date on your version once put into ClubRight, as it will not update on your version of course.

We ask for the Data import files to be separate as then we can identify if there is information missing which will ensure accuracy of the import process
This would then look like
1) All the Direct Debit/Monthly paying customers file
2) All the cash/one off payment customers file

3) Prospects that have never made a purchase from you file

Each File content should provide the headings as per our data import template

ClubRight Limited would like to make it very clear that we are not responsible for your data if it is shown incorrectly within the system as we can only import what is provided to us. Please note at the same time we will make you fully aware if things are missing and we need your help

Joint / Family / Group Memberships

If importing customer data from another provider, this is a manual task where you will need to link them all up one at a time. The benefit of this though, is that once done, each customer will have their own access to the system and manager their own bookings, the On-Demand area (If applicable) and personal details / preferences.
