Appointment Bookings: Member App and Staff Diary Explained

How to set up appointment bookings - Part 2

Updated this week

Once your appointment types are set up, the next step is to make them available for booking. Appointments can be booked in two ways: by members using the Member App or by staff adding them manually through ClubRight.

How a Member Books Using the Member App

Members will usually book their appointments through the Member App. It’s quick, easy, and convenient—saving both your team and your members time.

The booking process is simple. ClubRight automatically shows members the appointments they’re eligible to book based on their membership plan. If the appointment is included in their plan, they’ll be able to book it directly. If it’s not included, they’ll be prompted to pay before completing the booking.

So what does your Member see?

Step 1 – They open the Member App and tap Make a Booking.

Step 2 – They can choose the type of appointment they want to book. Only staff who are qualified to deliver that appointment type will be shown.

Step 3 - If preferred, they can also start by selecting a staff member. The app will then show all the available times that person can be booked.

Step 4 - After selecting a time, the member chooses the appointment type they want.

Step 5 - Once they tap Select, ClubRight will check whether their membership includes that appointment.

Step 6 - If the appointment is not included in their plan, ClubRight will prompt them to make a card payment before completing the booking.

This makes booking an appointment a quick and seamless process, all done through the ClubRight Member App.

How to book an Appointment in Club

Step 1 - Go to the Diary and select Appointments.

Step 2 – Choose the time slot in the diary where the appointment will take place.

Step 3 – Select the instructor.

Step 4 – Choose the appointment type the member wants to book.

Step 5 – Select a time from the list of available options. ClubRight will automatically show only the times that instructor is free.

Step 6 – If needed, assign a location for where the appointment will take place.

Step 7 – You can also add notes to the booking to help the instructor prepare for the session.

Note: If the appointment is not included in the member’s plan, you will be prompted to take payment through the Till as usual.

How to make a staff member unavailable to be booked

To quickly update a staff member’s availability, you can block out time in the diary when their hours change.

Step 1 – In the Diary, click on the time slot for the day you want to adjust.

Step 2 – Select the instructor you want to make unavailable, and choose the time period they should not be booked.

Step 3 – This will block off that time in the diary and stop any bookings from being made during that period.
