Milo is ClubRight's AI assistant, built into ClubRight. It answers questions about your club using your live data and our help centre, and it can do everyday jobs for you, such as booking a member onto a class, adding a note or freezing a membership. Milo always shows you an approval card before it changes anything. It works for whoever is signed in, so it only sees and does what that login is allowed to.
What can Milo look up?
You can ask Milo about:
members, their profiles, memberships, payment history, visits and bookings
who's overdue, failed payments and the Debtors list
your timetable, bookings, attendance and how full your classes are
reports on joiners and cancellations, visit counts and who's in the club now
your Red Alert, Amber Alert and Sleeping Members lists
leads in your sales funnel, your tasks and your automations
emails that failed or weren't delivered, for a date range

What can Milo change for me?
Milo can make changes on the Complete package. On other packages, it looks things up and tells you where to make the change yourself.
Milo can:
add a new member, or correct a member's name, email, mobile or address
turn a member's email marketing consent on or off
add notes and tasks, and tag members
book a member onto a class or cancel their booking, and manage waiting lists
book, cancel or move a member's appointment (to move one, Milo cancels it and books it again at the new time, with an approval card for each step, so approve both)
create class types and put classes on your diary
change or delete sessions on your diary, or end a repeating class
create membership plans and products
start a membership on one of your existing plans (Milo doesn't take the payment, so you'll still need to take it or set up a Direct Debit)
freeze or unfreeze a membership
cancel a membership, either today or from a later date
send an email to one member (or a text, if your club has SMS set up), or resend a welcome email
email a group of members (it counts who will receive it first, so you can check the number; Manager and Owner logins only)
refund a till sale or a membership payment back the way it was paid (card payments go back to the card; for cash, you hand the money back yourself)
stop a Direct Debit collection that hasn't gone to the bank yet
collect a one-off payment by Direct Debit
cancel a membership's Direct Debit, so nothing more is collected (the member's mandate stays in place; Owner logins only)
void an open (unpaid) till sale
move leads through your sales funnel
pause or switch on an automation, or create one from a template
change some club settings, such as how far ahead members can book (Owner logins, or logins with access to settings)
delete a member or prospect record that has no membership (Owner logins only)
Does Milo ask before it changes anything?
Yes. Before every change, Milo shows an approval card saying exactly what it is about to do. Nothing happens until you approve it. If you decline, nothing changes, and you can tell Milo what to do differently.
For a refund or a stopped collection, the card shows the payment, the amount and what will happen. A refund can't be undone, so check the card carefully before you approve it.
What can't Milo do?
Milo can't take a card or cash payment, write off a balance, or stop a Direct Debit collection the bank already has. When you need one of these, it tells you where to do it in ClubRight.
It also can't:
text a group of members (use Communication > Group messages, see Sending a group or bulk message)
delete a member who has a membership, or delete payment history
change how a member pays, or set up a Direct Debit mandate
edit an existing membership plan, or move a member onto a different plan
change what existing members pay (use Payments > Bulk Payment Actions for that)
edit a completed till sale
change your club name, currency or time zone
work on a club you're not signed in to (click your name at the bottom of the left-hand menu and choose Change Club to move to another club, then ask Milo there)
Can Milo work on its own, or on a schedule?
No. Milo only works when someone at your club asks it something in the Milo chat, and it shows an approval card before every change. It doesn't run jobs on a schedule or keep working in the background.
To make something happen automatically, such as a welcome email when someone joins or a reminder before a membership ends, use a Smart Workflow. Milo can help with this: ask it to create an automation from a template, or to pause or switch on one you already have. See Smart Workflows: getting started with automation.
Can I assign a task to Milo, or give it one from a Smart Workflow?
No. Milo isn't a member of staff, so it isn't in the list when you assign a task, including the Create task step in a Smart Workflow. Tasks go to your team. If you'd like Milo to help with one, open Milo and ask it, for example "Freeze Sam Smith's membership from Monday for two weeks".
Does Milo action members' cancellation and freeze requests?
Only when a member of staff asks it to. When a member asks to cancel or freeze from the app or member area, the request shows as a task on their profile for your team to pick up. Milo doesn't act on it by itself.
Ask Milo "Have any members asked to freeze or cancel?" and it lists the open requests. Ask it to action one and it checks the dates and any payments due, then shows an approval card before anything changes. Milo can only make the change on the Complete package.
If a member emails you instead, the email shows on the profile that has the sender's email address. Milo can't search everyone's emails, but if you tell it which member emailed, it can read their emails and action the request in the same way.
Can Milo work with our Claude or ChatGPT connection?
No. Connecting ClubRight to Claude, ChatGPT or another AI tool is a separate connection with its own permissions, and it isn't linked to Milo. See Connecting ClubRight to ChatGPT, Claude and other AI tools.
Who can use Milo, and what do they see?
Milo is being switched on club by club. If you see the round Milo button at the bottom right of your screen in ClubRight, your club has it.
Your team use Milo with their own ClubRight login. Staff, Manager and Owner logins can use it; Trainer logins and members don't see it. Milo sees and changes only what that login allows, so its answers match what that person can open on screen. For example, if a staff member's role doesn't include payments, Milo won't show them payment information either. An Owner can change what each role can see. See Setting up staff users and permissions.
Is there a limit on how much my club can use Milo?
Yes, each club has a weekly usage limit, set well above a normal week's use. If your club reaches it, Milo shows "This club has reached its weekly AI usage limit. Milo is back on Monday, and Talk to a human still works." Chat starts again the following Monday. If you're regularly reaching the limit, speak to our team about a higher one.
What happens to my chat if I close or minimise Milo?
Your chat is kept. Minimise and Close both hide the Milo window. When you click the round Milo button again, the same conversation is there.
The buttons at the top of the Milo window are:
New chat: start a new conversation.
Past chats: go back to an earlier conversation.
Expand: make the Milo window nearly full screen.
Minimise and Close: hide the window. Your conversation stays where it was.
If you leave a chat idle, it ends and Milo shows "This chat has ended… It's saved in your past chats". You can find it again under Past chats.
How do I speak to a person from Milo?
Click the round Milo button at the bottom right of your screen in ClubRight.
Under the message box, click Looking for human support?
In the Talk to ClubRight Support panel, click Start a new conversation, then type your message to our team.
You can also just tell Milo you want to speak to a person, and it will open a support chat for you. If something is urgent, call us on 0203 884 9777, Monday to Friday, 9am to 5pm.
