Customise the automated emails your club sends to members

You can personalise the automatic emails your club sends out — such as booking confirmations, welcome emails, freeze notices, and more — so they reflect your branding and communication style.

Why Use This Feature?

Editing email templates allows you to:

  • Add your club logo, tone of voice, and contact details

  • Ensure members receive clear, branded communications

  • Modify the layout or wording for key automated messages

  • Keep communications consistent across different processes

⚠️ Important: We recommend leaving the system commands in place (such as placeholders or merge tags) to avoid disrupting the functionality of the emails.


How to Edit Email Templates

  1. Go to Settings → Email Templates

  2. Select the email you want to edit from the list

  3. Make your changes — such as adding a logo, personal message, or custom contact details

  4. Save your changes


Emails You Can Edit

You can customise the following system emails:

  • Layout Template – Controls the layout used by all other emails

  • Booking Email – Sent to members after booking an activity

  • Booking Instructor Email – Sent to instructors when a booking is made

  • Membership Freeze Email – Sent when a member’s plan is frozen

  • Membership Unfreeze Email – Sent when a plan is unfrozen

  • New Award – Sent when a member receives a new award

  • Till Receipt Email – Sent after a payment or purchase

  • Welcome Email – Sent when a member first joins
