Adding and editing notes on member and prospect profiles

How to add and edit private internal notes on a member or prospect's profile.

You can add private notes to a member or prospect's profile to record reminders, internal warnings, or other key details for your team. Notes are internal only and are never visible to the member.


Why use notes

  • Internal only: notes are private to your team and are not shown to the member.

  • Better member management: keep track of reminders, conversations, or anything the next person needs to know.

  • Always to hand: notes stay on the profile, so anyone who opens it sees the full picture.


Add a note

  1. Open the member or prospect's profile from Contacts.

  2. Find the Notes section. You will see an Add a note about this member field.

  3. Type your note, then click the send button to save it.

The note is saved to the profile straight away and appears in the Notes section for anyone who views the profile.

⚠️ Note: Notes are for internal use only. They are not sent to the member and the member cannot see them.


Edit a note

You can update an existing note to correct a mistake or keep it current.

  1. Open the member's profile and go to the Notes section.

  2. Open the note you want to change.

  3. Edit the text, then save your changes.

⚠️ Note: Only owner-level admin users can edit a note. Other staff can still view notes, but cannot change them.
