What can be edited on a live membership plan

A quick reference guide to which membership plan settings can be changed after a plan has been assigned to a member.

In the new ClubRight, most membership plan settings can be edited at any time, even after the plan has been assigned to members. Changes made to a plan apply to the plan itself, not retrospectively to existing member agreements. To edit a plan, go to Settings > Membership Plans, click the three dots in the top right corner of the plan card, and select Edit.

📋 Note: Always click Save Changes in the top right corner of the edit screen after making any changes. Changes are not saved automatically.

Details

The following can be edited at any time:

  • Plan Name: the name members see when signing up.

  • Summary: a short tagline shown alongside the plan name in listings.

  • Description: a detailed description of what the membership includes.

  • Category: the category the plan is grouped into for browsing.

  • Plan Image: the image displayed on your membership page.

  • Featured Plan: whether the plan is highlighted in listings with a Featured badge.

This section also shows a direct link to the plan's sign-up page and a QR code you can download and display in your venue or share in emails and on social media.

Pricing

  • VAT Rate: the applicable VAT rate for the plan.

  • Payment Collection Day: the day of the month when recurring payments are collected.

  • Pro rata first payment: whether the first payment is adjusted based on days remaining until the next collection date.

  • Set a first payment date: delay the first payment to a specific date instead of collecting immediately.

  • Additional payment: add or edit optional one-off or recurring charges such as a joining fee or towel pack, with settings for payment name, amount, frequency, interval, and repetition.

Duration

  • Contract Length: the minimum commitment period for the membership.

  • Contract Type: whether the membership ends automatically at the end of the contract or rolls over until the member cancels.

  • Member Status After Cancellation: whether a member is marked as Cancelled or stays as a Customer when their membership ends.

  • Renewal Window: set how many days before and after expiry members can renew, and which plans they can renew into.

Availability

  • Plan Availability: whether the plan is available In-Club Only (sold by staff) or In-Club + Online (members can purchase it through the Member Area).

  • Availability Schedule: whether the plan is always available or only available during a scheduled window.

  • Promo Code: whether a promo code is required to view or purchase the plan.

  • Plan Type: whether the plan is available to everyone (new sign-ups and renewals) or for renewals only.

  • Membership Type: whether the plan is Individual (one person per membership) or Shared (multiple people share one membership).

  • Purchase Limit: whether members can purchase this plan multiple times or only once.

  • Visit Limits: unlimited visits or a set visit cap.

  • Access Hours: any time or restricted to specific days and times.

  • Age Restrictions: all ages or restricted to a specified age range.

  • Booking Availability: the club default (14 days in advance) or a custom booking window for this plan.

Payment

  • Payment Methods: which payment methods are available for this plan: Direct Debit, Card, Cash, or Standing Order.

Included

  • Club Access: the level of access members on this plan will have.

  • Included Activities: which activities members get free with this plan.

  • Included Appointments: which appointment types members can book free and unlimited.

  • Included Free Add-Ons: any add-ons included at no extra cost.

  • Optional Paid Add-Ons: add-ons members on this plan can purchase at an additional cost.

Reporting

  • Nominal Code: an optional code used for accounting and reporting purposes.

  • Include in Dashboard Stats: whether this plan is included in dashboard member counts.

Archiving a plan

If you no longer want to offer a plan, you can archive it rather than delete it. Click Archive in the top right corner of the edit screen. Archived plans are hidden from the Member Area and cannot be purchased, but existing members on the plan are not affected. You can view archived plans from the Archived tab on the Membership Plans page.

💡 Helpful tip: Use the Audit Log button in the top right of the edit screen to see a history of changes made to the plan. This is useful if you need to check when a setting was changed or who made a change.
