Scheduling a class puts an activity onto your diary at a set time so it can be booked. You can schedule a single session or set up an activity that repeats on a regular timetable. This article covers how to do both from the diary.
Before you can schedule a class, the activity itself needs to exist. For how to create activities and set your diary and booking rules, see the setup article linked at the end.
Schedule a class
Open the diary from the calendar icon in the left menu, then click + Schedule Class. A short wizard guides you through it:
Type: choose One-off Event for a single session at a set date and time, or Recurring Schedule for an activity that repeats on a regular basis.
Details: select the Class (this is the activity you want to schedule), set the Date & time, and optionally choose a Room, Staff member, and Notes. Click Next.
Review: check the summary, then click Create.
The class then appears on the diary at the time you set, ready for members and staff to book into.
Schedule a recurring class
Use a recurring schedule for anything that runs to a regular timetable, such as a weekly Spin class. Choose Recurring Schedule at the Type step. After the Details step, an extra Schedule step appears, headed "How often does it repeat?":
Frequency sets the repeat pattern, for example Weekly.
Repeat every sets the interval, for example every 1 week or every 2 weeks.
Repeat on lets you pick which days the class runs, from Mon to Sun. Choose more than one day for a class that runs several times a week.
Ends controls when the schedule stops: Never, After a set number of sessions, or On a specific date.
A confirmation line summarises the pattern in plain English before you continue. Click Next to review, then Create.
đĄ Tip: Build your regular weekly timetable with recurring schedules, then add one-off events for anything outside the usual pattern, such as a holiday workshop or a cover session.
Manage recurring schedules
To review or change schedules you have already set up, open the diary and click Manage Schedules.
How do I change the time of a regular class?
To move a regular weekly class to a new time, open its schedule from Diary > Manage Schedules, change the time and save with Update existing activities switched on. Every future session in that weekly slot moves to the new time, and members already booked in stay booked at the new time. To move just one session and leave the rest of your timetable as it is, change the time on that session in the diary instead.
Change the time for the whole regular slot
Open the diary and click Manage Schedules.
Choose the day the class runs, then click the class.
Click the pencil next to Schedule, change the Time, then click Apply.
Click Save Changes.
If members are booked into future sessions, a Save Schedule Changes box appears. Leave Update existing activities switched on and click Save Changes.
Wait for the confirmation. On a long-running schedule the update runs in the background, so you can leave the page and you'll be told when it's done.
Members already booked into future sessions, including regulars, keep their bookings at the new time. When you save, ClubRight reminds you that members should be told about the change, so let them know the new time, for example by opening a session and clicking Message All.
đĄ Tip: You can also open a schedule from any of its sessions: click the session in the diary, then click View Schedule. Once you have saved, check the Upcoming sessions list on the schedule shows the new time.
Change the time of just one session
Open the diary and click the session you want to move.
Click the pencil next to Date & time, choose the new time, then click the green tick.
A Move this session? box confirms that only this session moves and the rest of the schedule stays the same. Click Save & notify to email booked members the new time, or Save without notifying.
The session then shows (moved) next to its time. To put it back to the regular time, click Revert to schedule time.
How do I change how long a class lasts?
How long a class lasts is set on the activity, so you change the duration in Settings > Activities. The new length applies to every session of that activity straight away, including sessions already on the diary and the bookings in them. You can't give a single session or a single schedule its own length: the schedule screen shows the duration but can't change it.
Go to Settings > Activities and click the activity.
On the Details tab, under Duration, enter the new number of minutes in the Duration box.
Click Save Changes.
Members aren't emailed when the duration changes, so let anyone already booked in know if the new length affects them.
