When a member joins in person, or when you need to add a membership plan manually to an existing member's profile, you can do this directly from their member profile in ClubRight. The process takes you through a six-step wizard covering the plan, start date, member details, ParQ, payment, and confirmation.
📋 Note: Make sure the membership plan is set up correctly in Settings before adding it to a member. See Creating your first membership plan if you need to set one up first.
How to add a membership manually
Click Contacts in the left-hand menu and select Members.
Find the member and click their card to open the quick panel, then click Full profile.
On the member's profile, click + Add another membership below the existing membership tile.
This opens the New membership wizard. Work through the six steps below.
Step 1: Choose plan
Browse or search for the plan you want to add. You can filter by payment frequency (Monthly, Weekly, Yearly, One-off) and contract type (Rolling or Fixed term). Select the plan and click Next.
Step 2: Start date
The start date defaults to today. Change it if the membership should start on a different date. A Payment Summary shows the price, contract type, and collection day. If you need to apply a discount, click Adjust price & add a discount. Click Next when done.
Step 3: Member info
Check the member's details are complete — email, date of birth, gender, mobile, address, and emergency contact. These are pre-populated from the member's profile. Any fields left blank will be flagged on the member's dashboard for completion later. Click Next when done.
Step 4: Welcome and ParQ
Choose how the member will complete their health questionnaire (ParQ) and receive their welcome email:
Email ParQ link to member (recommended) — sends a link to the member's email address.
Capture in person now — opens the ParQ form immediately for completion on screen.
Capture later — skips the ParQ for now. It will be flagged on the member's dashboard.
You can also toggle Send welcome email straight away on or off. Click Next when done.
Step 5: Payment
Choose how the member will pay:
Take payment now — card, cash, or cheque at the till. You will be taken to the till to complete the payment after starting the membership.
Card terminal (PDQ) — take payment now via a ClubRight Pay card machine.
Decide later — the membership will show as overdue until payment is set up.
Click Next when done.
Step 6: Confirm
Review the full summary — plan, start date, price, amount due today, contract type, and payment method. A Setup checklist shows which member details are complete and which are outstanding. If everything looks correct, click Start membership.
💡 Helpful tip: If you choose Take payment now in step 5, you will be taken straight to the till after clicking Start membership to complete the transaction. Make sure the till is ready before proceeding.
