ClubRight lets you capture and organise member information in two flexible ways. Custom fields add your own questions to the standard registration form, so you can collect details specific to your club. Tags are labels you apply to members so you can group, filter, and message them however you like. This article covers both.
Custom fields
A custom field is an extra question you add to the member registration form, on top of the standard fields like name and date of birth. Use them to capture anything your club needs that ClubRight does not ask for by default, for example a locker number, a sport preference, or a compliance question.
Where to find them
Go to Settings, then Members Area, then Access & Registration. On the right of that page is the Registration Fields panel, where you control which fields appear when someone registers.
The panel has two parts. Standard Fields are the built-in fields (Title, First Name, Last Name, Gender, Date Of Birth, address fields, phone numbers, emergency contact, and profile photo). Tick a standard field to make it mandatory at registration. Below these is the Custom Fields section, where you add your own.
How to add a custom field
In the Custom Fields section, click Add new field. A new field row appears.
Type the field name into the text box, for example "Locker number".
Choose the field type from the dropdown. The options are Text, Number, Date, True/False, and Dropdown.
Choose who the field is for from the visibility dropdown: Member (the member is asked at registration and can see it) or Staff Only (only your team sees it, the member is not asked).
Tick the box on the left of the row if you want the field to be mandatory at registration.
To remove a custom field, click the bin icon at the end of its row.
Dropdown fields
If you choose the Dropdown field type, you can define your own list of response options for members to pick from. This is useful when answers need to be consistent or to follow a set list, for example a question where the available answers must comply with regional requirements. Add each option you want to offer, and edit the list at any time as your needs change.
⚠️ Note: A mandatory custom field set to Member must be completed before someone can finish registering. If a member leaves it blank, the registration will not continue until they fill it in.
Tags
Tags are custom labels you apply to members to help you stay organised. You can group members by any criteria you choose, then filter and message just that group. A member can have as many tags as you like, and tags work across all your plans and membership statuses, so you can act on a group of members regardless of what plan they are on.
Why use tags?
Tags give you a flexible way to group members and then communicate with them precisely. For example, if several of your plans include sunbed access, you can create a Sunbed tag, apply it to the relevant members across those plans, filter your contacts by that tag, and message only that group when you need to, rather than messaging each plan separately or sending an irrelevant update to everyone.
How to tag an individual member
You can add or remove tags on a single member from their profile. Open the member's profile, find the tags area, type the tag name (or select an existing one), and save. To remove a tag, clear it from the same place on the profile.
How to tag members in bulk
To tag several members at once:
Go to Contacts and open the Members list.
Use the search and filters to narrow the list to the members you want, or select all.
Click the three-dot menu at the top of the list and choose Add or remove tags.
In the Add or remove tags window you have three options:
Add existing tags: search for a tag you have already created and select it to apply it.
Remove existing tags: search for a tag and select it to take it off the selected members.
Create new tags: type a new tag name and press Enter to create and apply it.
Click Save. The changes apply to all the members you selected.
⚠️ Note: When a tag is removed from the last member that had it, the tag is deleted from your account. You will need to recreate it if you want to use it again.
Filtering by a tag
Once members are tagged, you can filter your Members list by tag to see just that group. From there you can message them, export them, or take other actions on the whole group at once.
💡 Tip: When you tag members for a specific reason, let them know why where it helps. For example, telling a member they are tagged for sunbed access because their membership includes it adds clarity and value.
