What do the payment statuses mean?

What Pending, Requested, Success and Failed mean on a member's payments, when a member counts as overdue, and why they can still show as overdue after paying.

Every payment on a member's schedule has a status that tells you where it has got to, from being created through to being collected or failing. This article explains what each status means, when a member counts as overdue, and why a member can still show as owing after they have paid.

Pending

The payment has been created but has not been sent to the bank or card provider yet. Upcoming scheduled payments show as Pending.

Requested

The payment has been sent and ClubRight is waiting for the result.

Success

The money has been collected.

Failed

The payment was rejected, cancelled before it was taken, or charged back. It may show a reason, such as Refer to Payer. A failed payment never changes back to paid. If it is retried, the retry is a new, separate payment.

When does a member count as overdue?

ClubRight looks at the member's most recent completed payment, ignoring anything still Pending or Requested:

  • If it succeeded, the member gets the benefit of the doubt while their next payment is in progress, and isn't overdue.

  • If it failed, the member is overdue straight away, even if a retry is waiting.

  • If it was cancelled before the money was taken, ClubRight looks at the payment before it. The member only gets the benefit of the doubt if that earlier payment succeeded.

Card memberships are not marked overdue until midday on the day the payment is due, so that day's card payment has time to run. A failed card payment makes the member overdue at once.

An unpaid amount stays overdue until it is paid in full. Later successful payments only cover their own period, so they don't clear an earlier failed payment. To collect it, use Take payment (card or cash through the till) or Add to DD (a one-off Direct Debit collection) on Payments > Debtors.

It says paid but the member still shows as overdue

There are three usual reasons:

  1. The latest payment is still Pending or Requested. It hasn't cleared yet, so it doesn't count as paid until the result comes back as Success.

  2. The most recent completed payment failed. A failed payment stays failed, even if another payment or a retry is on its way.

  3. An earlier payment failed and hasn't been collected. For example, if August's payment failed and September's succeeded, the member is still overdue for August. September's payment only covers September.

Check the member's payment schedule for any Failed entries. If a successful payment came in recently and the member still shows as overdue, also check Payments > Health for the Overdue but payment just landed category.

What does "in credit" mean?

A member is in credit when they have paid more than has been charged so far. The extra is held as a balance, and future payments use it up. This is common after a club transfer or a manual overpayment.

A member can be in credit on one membership and overdue on another at the same time. That is correct, not a fault.
