How does a member set up or change their Direct Debit?

How members and staff set up or change a Direct Debit, by route and by provider, including lead times.

A member sets up Direct Debit by choosing Pay by Direct Debit when they join online. If your club uses ClubRight Pay Direct Debit and the member's Direct Debit has been cancelled, they can also set up a new one themselves in the member area or member app. If their Direct Debit is still live, they can't change it themselves. To change the bank account, your team sets up the new Direct Debit from the membership in club. For Harlands or DFC memberships, any change is made with Harlands or DFC directly.

The first Direct Debit collection can be taken 6 working days after the mandate is set up with ClubRight Pay Direct Debit, or 5 working days with GoCardless.


Before you start: allow Direct Debit on the plan

Members and staff only see the Direct Debit option if the membership plan allows it.

  1. Go to Settings > Membership Plans and click the plan.

  2. Open the Payment section.

  3. Under Payment Methods, tick Direct Debit.

  4. Click Save Changes.


Setting up Direct Debit when joining online

The plan needs to be available In-Club + Online, with Direct Debit allowed.

  1. The member opens the plan and clicks Get Started.

  2. They check their details on Confirm Your Details and click Save & Continue. If your club uses a health questionnaire, they complete that next.

  3. Under How would you like to pay?, they click Pay by Direct Debit.

  4. On Setup your Direct Debit, they enter the Account holder name, Account number and Sort code.

  5. They tick I agree to the above and click Confirm.

💡 Tip: The first payment for an online purchase is taken by card straight away. Direct Debit collects the payments after that.


Setting up a new Direct Debit after a cancelled mandate

This is only available if your club uses ClubRight Pay Direct Debit.

If a member's Direct Debit mandate has been cancelled, they can set up a new one themselves from the member area or member app.

  1. The member opens the member area or member app and either taps the Payment Method Required banner on the home screen, or goes to Manage My Membership and finds the membership marked Payment required.

  2. Under How would you like to pay?, they click Pay by Direct Debit.

  3. On Setup your Direct Debit, they enter the Account holder name, Account number and Sort code.

  4. They tick I agree to the above and click Confirm.

⚠️ Note: While a member's Direct Debit is live, they can't change it from the member area or member app. To change the bank account, your team sets up the new Direct Debit in club (see below).


Setting up or changing Direct Debit in club

Use this when a member wants to switch to Direct Debit, has changed their bank account, or didn't finish the mandate when they joined.

⚠️ Important: read before changing a live Direct Debit. Clicking Change payment method cancels the member's current Direct Debit immediately. There's no confirmation step, and the Direct Debit stays cancelled even if you close the panel without setting up a new one. If that happens, no further payments will be collected until a new Direct Debit is set up. Only click it when the member is with you and ready to give their new bank details, and avoid doing it within 4 working days of their next collection.

  1. Go to Contacts and open the member.

  2. On their membership, click Manage & view details.

  3. Under Payment:

    • If no automated payment is set up, click Direct Debit under Set up automated payments.

    • If the member already pays by Direct Debit and wants to change their bank account, click Change payment method, then click Direct Debit.

  4. Check the member's details on Confirm Your Details and click Save & Continue. Complete the health questionnaire if it appears.

  5. On Setup your Direct Debit, enter the Account holder name, Account number and Sort code.

  6. Tick I agree to the above and click Confirm.

  7. Refresh the member's profile and check the membership shows ClubRight Pay DD rather than No automatic collection.

If your club uses GoCardless, the bank details screen may look different.

How this differs by Direct Debit provider

  • ClubRight Pay Direct Debit: members can set up Direct Debit when they join online, or set up a new one in the member area or member app if their mandate has been cancelled. Your team can set it up or change it in club. Bank details are checked live when the mandate is created. Allow 6 working days before the first collection.

  • GoCardless: members set up their mandate when they join online. After that, your team sets it up or changes it in club, because members can't do it from the member area or member app. Allow 5 working days before the first collection.

  • Harlands / DFC: set up and change Direct Debits with Harlands or DFC directly. ClubRight can't change the bank details or collection date for these memberships.
