Setting up promo codes for membership plans

Create membership plans that are only visible when a valid promo code is entered, ideal for exclusive or time-limited offers.

Promo codes let you create membership plans that are only visible when a member enters a valid code. This is useful for time-limited promotions, exclusive member offers, or hidden plans you want to share selectively without making them publicly available.

Promo codes, sometimes referred to as offer codes, discount codes or voucher codes, control access to a membership plan in ClubRight. The promo code itself does not apply a monetary discount; any promotional price or offer will depend on how the membership plan has been set up.

Note: Promo codes for membership plans are available to Complete customers and are not available to Core customers. Promo codes can only be used with membership plans that are available to purchase online.

How do I add a promo code when creating a new membership plan?

  1. Open the burger menu in the top-left corner.

  2. Select Memberships.

  3. Select Plans.

  4. Select Add new plan.

  5. Complete the required membership plan details.

  6. At Access & Eligibility, select In-Club + Online under How should members be able to get this plan?

  7. Under “Should this plan require a promo code?”, select Promo code required.

  8. Enter the promo code you want members to use.

  9. Complete the remaining plan setup and save the membership plan.

The Promo code eligibility option will only appear when In-Club + Online is selected.

Once a promo code is added, members must enter the correct code to access and purchase that membership plan online.


How do I add or change a promo code on an existing membership plan?

  1. Open the burger menu in the top-left corner.

  2. Select Settings.

  3. Select Membership Plans.

  4. Find and select the membership plan you want to add or change a promo code for.

  5. Select Availability from the options.

  6. Under Who can buy it? make sure this is set to In Club and Online

  7. Under Promo Code section select Requires Code option.

  8. Enter or update the promo code.

  9. Save your changes.

Members must enter the correct promo code to access and purchase that membership plan online.


How do I see how many people used my promo code?

You can only see how many people signed up with a promo code if the promo code is in the membership plan's name. Use the exact code, for example FULL - BACK2IT, not a reworded version such as Back to It. ClubRight has no separate page or report for promo code usage, so you track sign-ups by filtering your membership reporting by plan name.

If the promo-code plan has the same name as a plan without a promo code, you can't tell the two apart in your reports, and you won't be able to see how many people used the code.

How do I find the number of sign-ups?

Filter your contacts by the promo-code plan in Contacts > Filters > Membership Plan.

  1. Go to Contacts and select Filters.

  2. Under Membership Plan, select the plan that has the promo code in its name.

  3. To see sign-ups for a set period, enter dates under Joined.

  4. The number of contacts shown at the top of the list is how many people are on that plan.

Example

You have a standard plan called FULL and a promotional plan that needs the promo code BACK2IT. Name the promotional plan FULL - BACK2IT, not FULL. You can then filter your membership reporting by FULL - BACK2IT to see everyone who signed up with that code.

⚠️ Note: Plan names aren't changed for you. If your promo-code plan already shares a name with another plan, rename it before you start tracking.


How it works for members

When a member visits your club's registration or membership page, they will see a Promo Code field. Once they enter a valid code and click Apply, the promotional plan becomes visible and they can purchase it as normal.

You can share the promo code alongside your club's registration link, for example in a marketing email, on social media, or at an event.


Example

A club runs a new year promotion offering three months at a discounted rate. They create a membership plan called New Year Offer - NEWYEAR with the promo code NEWYEAR and share it in their January email campaign. Only members who receive the email and enter the code can see and purchase the plan, and because the code is in the plan name, the club can filter their membership reporting by that name to see how many people signed up. Once the promotion ends, the club removes the promo code from the plan and it reverts to a hidden draft.


Helpful tip: You can also use promo codes for products in your online shop, controlling who can see and purchase specific products.
