Changing membership prices in bulk

How to update the price for many members on a plan at once using Bulk Payment Actions, and what to check before you do.

Bulk price changes let you update the price for many members on a plan at once, rather than editing each member individually. You can set everyone to a new fixed price, add a fixed amount to what they currently pay, or change only members paying a specific amount. This article explains how to set one up and what to check before you do.

Important: Bulk payment actions are irreversible once they run, so read this article and check your setup carefully before scheduling.

Before you proceed, please read and understand the following:

Bulk price updates need at least 6 working days from the effective date to take effect, because Direct Debit requests must be processed through the banks. Any Direct Debits already sent to the bank will not be amended, and those members will go overdue for the price difference. You can collect that difference with a one-off payment, or avoid it by scheduling your change more than 6 working days in advance.

In line with UK Direct Debit rules, members paying by Direct Debit receive an email confirming their existing subscription is being cancelled and a new one set up at the updated price. This can cause confusion, so we recommend telling members about the change in advance and letting them know no action is needed on their part.

Note: Bulk price changes are part of a specific ClubRight package and may not be available on your plan. If you cannot see Bulk Payment Actions, reply here asking to talk to a member of the Customer Success team to check what your package includes.

Creating a bulk payment action

  1. Go to the Payments area and select Bulk Payment Actions under Tools in the left-hand menu.

  2. Click Create new action in the top right.

  3. Give your action a name so you know why it was created, for example "Peak Plan price change", then click Save & Edit to open it.

The action editor has three sections: Setup (name your action), Select memberships (choose which memberships to update), and Changes to make (set the status, payment, and date changes).

Selecting which memberships to change

In the Select memberships section, choose the membership plan or plans you want to change from the Memberships dropdown. You can also use the Started since date to limit the action to memberships that began on or after a certain date.

Choosing the price change

In the Changes to make section, leave Change membership status set to Do not update membership status if you are only changing prices. Under Payment changes, choose one of the following options:

  • Set fixed payment: set every member's payment to a specific amount. Enter the new price in the Change to field. For example, enter 49.99 to move everyone on the plan to £49.99 per month.

  • Increment payment: increase every member's payment by a set amount. Enter the amount in the Increase by field. For example, increasing by 5.00 moves a member paying £30.00 to £35.00, and a member paying £35.00 to £40.00.

  • Change specific payment: change only members paying a particular amount. Enter the From and to values. For example, move only members paying £30.00 up to £35.00, leaving everyone else unchanged.

Leave the option on No payment change if you do not want to change prices.

Setting the effective date

Set the Effective date for when the change should take effect. We strongly recommend setting this at least 6 working days ahead, for the Direct Debit reason explained above. You can also use Add days to contract end date if you want to extend members' contracts at the same time.

Telling members about the change

Under Notify members of these changes, tick Send a message to send members a message alongside the change, or Add as note to record it on their profile. We recommend letting members know their new payment amount in advance. To send a standalone message instead, use the Communications tool.

Note: Members paying by ClubRight Pay or GoCardless are also told about their new subscription amount by email automatically. You may want to mention this in your own message to avoid confusion.

Reviewing and scheduling

  1. Click Check & Schedule at the top of the action.

  2. Review the list of members whose prices will change. If the right members are shown and the setup is correct, confirm to schedule the change.

The price change takes effect on your chosen effective date, allowing for the working-day lead time described above.

Important: A bulk price change only affects current active and overdue members. To change the price the plan is sold at to new members, update the plan's price in the membership plan settings.
