Managing Membership Price Updates in Bulk

Understanding and Applying Bulk Price Changes

BEFORE YOU PROCEED - Please read and understand the following:

Bulk price updates require 6 working days from the effective date to take effect, as Direct Debit requests must be processed through the banks. This means that any changes made today will not reflect for customers until 4 working days later.

Any Direct Debits that have already been sent to the bank for payments will not be amended and they will go overdue for the price difference. Click "Collect One-Off" payment to collect that small amount. You can avoid this by future scheduling your change more than 6 working days in advance.

In line with UK Direct Debit regulations, members paying via Direct Debit will receive an email notification confirming that their existing subscription is being cancelled and a new one is being set up at the updated price. This may cause confusion, so we strongly recommend informing your members about the upcoming price change in advance. Let them know they will receive this email but no action will be required on their part.

Step 1:

To access the 'Bulk Payment Actions' area, first go to the 'Settings' menu in the top right. Then, scroll down to the 'Bulk Payment Actions' tab.

Step 2:

Click the 'Create new action' button. Give your action a name, for example "Peak Plan - Price change", then click "add and edit" to set-up your price change

Step 3:

Choose the membership plan for which you want to adjust the price. For multiple plan adjustments, repeat this exercise for each plan.

Step 4:

You now have 3 different options for amending current member prices:

Option 1 - Amend ALL members on the same plan to the SAME price:

Here you would select "Set Fixed Payment" and insert the NEW price, for example, if you want all members on the plan to pay £49.99 per month going forward, insert the value 49.99:

Option 2 - ADD a fixed value to all members current prices:

Here you would select "Increment Payment" and insert the amount to ADD to each member's current price, irrespective of what they are currently paying. For example, you wish to increment the members by an extra £5.00 per month, insert the value 5.00:

In this example, a member currently paying £30.00 per month will increase to £35.00 and a member currently paying £35.00 per month will increase to £40.00 per month

Option 3 - Amend ONLY members paying a defined price to be increased to a new value:

Here you would select "Change Specific Payment" and insert the from and to values. For example, you only want members currently paying £30.00 per month to increase to £35.00 but wanted to leave anyone paying any other amount as they are:

Repeat as needed for each current value that you want to change.

Step 5 - Select the Effective Date - we strongly recommended this is at least more than 6 working days away.

Step 6:

Send a message (optional but highly recommended!)

We strongly advise that you send a message to accompany the price change. This keeps your members informed of their new payment amount. It's easy to do this by clicking "send a message", then composing, select "no consent needed" (as this is an essential business communication and not marketing) and this will be sent when you run the increase action:

Please Note - any members that pay by Clubright Pay or GoCardless will be informed separately of their new subscription amount by email too. You may wish to include reference to this in your email to avoid confusion.

Step 7:

Click on the 'Check & Schedule' button.

Review the list of customers whose prices will be changing. If the correct customers are displayed and the setup is accurate, you can proceed by confirming and scheduling the changes.


If everything appears correct, click 'Confirm and schedule'.

The price adjustment for the selected membership will take effect in 5 working days.

The Bulk Price Change Process will ONLY impact current active/overdue members. If you wish to change the price at which the plans are sold at, then please make sure you change the plan value in Settings > Membership Plans > Payment Schedule tab
