Understanding the member profile

An overview of the member profile dashboard: where to find a member's details, membership, payments, activity, and actions.

The member profile is the single dashboard for everything about one member: their contact details, membership, payments, activity, messages, notes, and tasks. From here you can check someone in, take a payment, book them into a class, sell them a product, message them, and manage their membership. This article gives you an overview of the profile so you know where to find each thing.

Note: The profile is dynamic, so what you see changes based on the member's status, surfacing the most relevant action for that member. For example, if a membership is overdue, a prominent section prompts you to collect the payment. If the contact is a prospect rather than a member, the option to add a membership is shown more prominently. The areas described below are the building blocks of the profile, but their exact prominence and order can vary from one member to the next.

How to open a member profile

  1. Click Contacts in the left-hand menu and select Members.

  2. Find the member and click their card to open the quick panel, then click Full profile to open the full dashboard.

The header

The top of the profile shows the member's name, photo, and key details: email, phone, the date they became a member, age, and their member number. Status badges sit next to the name, for example Overdue if a payment has been missed, or Unverified if the member has not yet verified their account. Use Additional information to expand further details.

In the top right you will find the edit (pencil) button to change the member's details, the Audit Log to see changes made to the member, and a menu for further options.

The stat strip

Below the header, a row of figures gives you the member at a glance:

  • Lifetime Value: the total the member has been worth to your club.

  • Visits: how many times they have visited.

  • Classes: how many classes they have attended.

  • Referrals: how many members they have referred.

  • ParQ: the status of their health questionnaire, so you can see at a glance whether it is complete.

The membership tile

The membership tile shows the member's current plan, its status (such as active, overdue, or cancelled), the start and expiry dates, and any amount due with a Collect option. Click View schedule & details to open the Manage Membership panel, where you can take a payment, edit the contract, change plan, freeze, or cancel the membership, and see the full payment and schedule breakdown.

Use Add another membership to add a further plan, and the previous membership history to see plans the member has held before.

Note: Membership status meanings: Active means the member is up to date on payments and has a payment method set up for the future. Overdue means a payment has been missed and needs to be taken. Incomplete means the member does not yet have a payment method set up.

Quick actions

A set of quick action buttons lets you act on the member without leaving the profile:

  • Check in: check the member into the club.

  • Book: book them into a class or appointment.

  • Sell: sell them a product or membership at the till.

  • Message: send them a message.

  • Task: create a task linked to the member.

You can also award the member an achievement and assign a trainer from this area.

The information cards

The lower part of the profile is made up of cards, each covering one area:

  • Notes: internal notes about the member that the member never sees.

  • Member activity: a chart of the member's visits over time.

  • Payment Methods: the card or bank details on file for the member. If there is no card, you can Send card request to email the member a secure link to add their details.

  • Messaging: a record of messages sent to the member.

  • Tasks: tasks linked to the member.
