Merge fields, sometimes called short codes, let you personalise every email and message you send. You type a code such as [FirstName] where you want the detail to appear, and when the message is sent ClubRight replaces it with that member's information.
💡 Tip: to add the member's first name, type [FirstName] where you want it, or click First name under Insert personalisation.
How merge fields work
For example, if you send John Smith an email with the subject Hello [FirstName]! and the body Your surname is [LastName]., John receives an email with the subject Hello John! that says Your surname is Smith.
This works for every member a message goes to, so one group message is personalised for each person who receives it.
Adding a merge field
In a message
Go to Communication > New Message
Click where you want the detail to appear
Under Insert personalisation, click the field you want, for example First name. First name, Membership number and Title are shown straight away; click More for the rest
In an email template
Go to Settings > Email Templates and open the template you want to edit
Click where you want the detail to appear
Under Dynamic fields, click the field you want, for example [FirstName]
You can also type a merge field yourself. Type it exactly as shown below, including the square brackets.
In a Smart Workflow message
Open the workflow and edit the Send message step
Click where you want the detail to appear
Under Insert personalisation, click the field you want, or click More for the full list
As well as the member fields listed below, the Smart Workflow list includes membership fields: [MembershipName], [StartDate], [ContractLength], [ManageOnlineLink] and [PaymentSchedule].
Can I add merge fields to a saved reply?
Yes. Type the merge field straight into the saved reply, for example [FirstName], including the square brackets. You'll find your saved replies under Settings > Communications > Saved Replies. The saved reply editor doesn't have an Insert personalisation picker, so type the field exactly as shown in the list below.
When you use the saved reply, the message box still shows [FirstName]. That's expected. It's filled in with the member's details when the message is sent. The message box also has Insert personalisation if you want to add anything else before you send.
The Saved replies button only appears in a member's Messaging panel once you have created at least one saved reply.
⚠️ Note: membership merge fields such as [MembershipName] aren't filled in when you message a member from their profile or from Conversations. They stay exactly as you typed them. Use membership fields in email templates and Smart Workflow messages instead.
Available merge fields
[FirstName]: the member's first name
[LastName]: the member's last name
[FullName]: the member's full name, as shown on their profile
[Title]: the member's title
[Email]: the member's email address
[MobileNumber]: the member's mobile number
[HomeNumber]: the member's home number
[MembershipNo]: the member's membership number
[CardNo]: the member's card number, used for access control
[CompanyName]: the company the member works for, useful for corporate memberships
[EmergencyContactName]: the member's emergency contact name
[EmergencyContactPhone]: the member's emergency contact phone number
[ClubName]: your club's name
⚠️ Note: some email templates include extra fields that only work in that email, such as [ConfirmationLink] in the Welcome Email. Leave these in place when you edit a template, as removing them will break the email.
Is there a merge field for a membership's expiry date?
No. There isn't a merge field for the date a membership ends or expires, so you can't drop the expiry date into a message automatically.
The nearest option is to time the message from the expiry date instead. In Smart Workflows, use the Membership expires trigger and set Trigger days before, for example 21 days. Every member then gets the message the same number of days before their membership ends, so you can write "your membership ends in 3 weeks" rather than a specific date. See Smart Workflows: getting started with automation.
