If you have existing Direct Debit members with another provider, you can move them to ClubRight Pay without asking them to set up new mandates. This is called a bulk transfer. This article explains what a bulk transfer is, how long it takes, what happens during the transition, and what you need to do.
🇬🇧 UK only: bulk transfers operate under the UK BACS Bulk Change scheme. Non-UK Direct Debit schemes use different processes.
What is a bulk transfer?
A bulk transfer (also called a bulk change) is the process by which Direct Debit mandates are moved from one provider to another in a single coordinated transfer. Your members do not need to take any action: their existing mandates are cancelled with your outgoing provider and re-created with ClubRight Pay on a set date, behind the scenes.
Your part in the process is to provide us with the relevant data from your outgoing provider. The rest is handled by ClubRight and our Direct Debit partner.
How long does a bulk transfer take?
A bulk transfer typically takes 4 to 6 weeks end-to-end, from initial discussion to all your members being live on ClubRight Pay. This covers data gathering from your outgoing provider, validation, the technical transfer itself, and member notification.
The collection pause during transition
There is a short window during the transfer where regular collections will pause for migrated members. This happens between the final collection running with your outgoing provider and the first new collection running through ClubRight Pay.
This pause is typically around 7 working days. Any collections missed during this window will be caught up at the earliest opportunity once your members are live on ClubRight Pay. The exact dates of the pause and the catch-up will be made clear to you and to your members in advance.

Be ready to onboard new members using ClubRight Pay from the start of the transfer process
⚠️ Important: once the bulk transfer process starts, you must not create new memberships or Direct Debits using your previous provider. All new memberships from that point onwards must be created through ClubRight Pay. Mixing providers during the transfer will cause reconciliation issues that are difficult to undo.
What your members will see
As part of the bulk change process, your members will receive a notification by email letting them know they will see a change on their bank statement. This notification is a legal requirement of the BACS Bulk Change scheme and cannot be opted out of.
Beyond the bank statement change, the transition is invisible to members from a payment perspective: their collection amounts and regular dates stay the same (subject to the short pause described above), and they do not need to re-enter their bank details.
