Setting up and using credits

How to set up credit packs for activity access, how members use credits, and how to remove or refund credits.

Credits let you sell activity access without a full membership. A member or non-member buys a credit pack, and each credit lets them book into an eligible class or session. Credits are ideal for pay-as-you-go classes, taster sessions, and casual visitors.


What are credits?

A credit is a pre-paid pass for booking into activities. One credit equals one booking. You decide how many credits a pack contains, how long they last, and which activities they can be used for. Common uses include:

  • Pay-as-you-go classes: sell single-class passes for Spin, Circuits, or Yoga.

  • Taster sessions: let non-members try your club before committing to a membership.

  • Flexible options: give occasional visitors a way to book without a recurring plan.

  • Bundles: sell a block of sessions at a set price, for example a 5-class bundle.


Creating a credit pack

A credit pack is a product with the Credits product type. When you create one, you set the number of credits, how long they are valid for, and which activities and appointments they can book.

For the full setup steps, see Creating and setting up products. In short:

  1. Go to Settings, then Your Offerings, then Products, and click New Product.

  2. Give it a name (such as "Single Class Pass" or "5 Class Bundle") and set the Product Type to Credits.

  3. Set the Credits (number of bookings included), Credits valid for (days) (after which they expire), and the Price.

  4. Under Which activities apply? and Which appointments apply?, choose what the credits can be used to book.

  5. In Who can buy it?, set who can purchase it, for example Non-Members and Members, Members only, or Till only.

Tip: You can create several credit packs with different prices, validity periods, and activity access. For example, a £12 single Spin pass valid for 7 days, alongside a £50 five-class bundle valid for 30 days across Spin, Circuits, Yoga, and HIIT.

Single Spin pass

  • Price: £12, Credits: 1, Valid for: 7 days

  • Activity access: Spin

  • Available to: Non-members only

5-class bundle

  • Price: £50, Credits: 5, Valid for: 30 days

  • Activity access: Spin, Circuits, Yoga, HIIT

  • Available to: Non-members and members


How members get and use credits

A member or non-member can buy credits online through the Member Area, or in club at the till. Once bought, the credits sit on their account and are used automatically when they book an eligible activity. Each booking uses one credit, and credits cannot be used after their validity period ends.

Note: A booking is only confirmed once it is paid for, whether by a credit or another method.


Seeing a member's credits

A member's credit balance is shown on their profile. Open the member from Contacts and find the Credits card, which summarises how many credits they have, for example "1 credit remaining across 1 product". Click it to open the full Credits view, which lists each credit pack they hold, when it expires (or starts, if it is not active yet), and how many of its credits remain, shown as a used-of-total figure.


Removing credits from a member

How you remove credits depends on how they were added.

Credits bought as a one-off (till or online)

Refunding the purchase removes the credits it added. Open the member's profile from Contacts, go to the Purchases section, click the credit transaction, and click Refund. For the full refund rules, including how each payment method is returned, see Refunding a member: process and rules.

If you want to remove a credit without refunding any money, you can book the member into a past session of an eligible activity, which uses up the credit.

Credits added by a bolt-on

If the credits came from a membership bolt-on, they are removed by cancelling the plan and choosing to cancel any unused credits at the same time. See Cancelling a membership: process and what to expect.
