Adding a closed period doesn't stop bookings. A closed or holiday period only stops members checking in at the door. Classes on that day stay in the booking diary and members can still book them. To block out a whole day, for example a bank holiday, add the closed period and then delete each session on that day from the diary. There's no option to delete all the sessions on one day in one go, so you remove them one at a time.
Close the club for the day
A closed period turns members away at the door on that date and shows them the reason you give.
Go to Settings > Club Access.
Under When are you open?, click Add closed/holiday period.
Set Closed from and Closed until (inclusive). For a single day, choose the same date in both.
Enter a Reason (shown to members), for example "Bank holiday".
Click Add closed period, then click Save Changes.
The closed day then appears in your opening hours. To undo it, click Remove next to it and click Save Changes.
⚠️ Note: A closed period doesn't change your diary. Classes on that day stay in the diary, and members can still book them online and staff can still book members in, with no warning, until you delete the sessions.
⚠️ Note: Closures only work alongside your normal opening hours. If you haven't set any opening hours, adding a closure for any date closes the club at all times on every day, and members see "The club is currently closed" with no reason. Set your weekly opening hours under When are you open? first. If your club uses Open 24 hours, the options to add hours and closures are hidden, so turn off Open 24 hours and set opening hours for every day before adding a closure.
Can I close for only part of a day?
Yes. Add the closed period as above, then change the times on its row, for example 12:00 to 15:00, and click Save Changes. Members are only turned away between those times. Classes during those times can still be booked, so delete any that won't run.
Delete the sessions on the closed day
Open the diary from the calendar icon in the left menu and go to the closed day.
Click a session to open Activity Details.
Click Delete and confirm.
Repeat for every other session on that day.
Deleting a session that members are booked into cancels their bookings, refunds any class credits and emails each member to let them know.
💡 Tip: Before you delete a session, click Message All to tell booked members why it's cancelled and when you reopen.
Can I delete all the sessions on one day at once?
No. Each session on the day has to be deleted on its own. Diary > Manage Schedules deletes a whole repeating schedule, which removes that class from every future week, not just the closed day. Use it only if the class is stopping for good.
What happens to bookings already made for that day?
Adding a closed period doesn't cancel anything, so members stay booked in and aren't told about the closure. Their bookings are cancelled, refunded and emailed only when you delete the session.
Will members know the club is closed?
Members who try to check in on the closed day are turned away with "The club is currently closed" and your reason. To tell members in advance, message them from the session before you delete it.
