When you want to reach the members most likely to care about a specific class or activity, you can message them straight from your diary rather than building a filter from scratch. From the Activity Details screen for any class in your diary, ClubRight gives you up to four targeted messaging options: everyone booked, those checked in, the waiting list, and previous attendees. It is a quick, targeted way to fill quieter sessions, share session-specific info, or re-engage members.
Why use this feature
Fill class spaces: invite previous attendees back when bookings are quiet
Reach the right group instantly: no need to build a contact filter in the Group Messages wizard
Share session-specific information: changes or details unique to that class
Follow up after a session: message the people who actually checked in
Manage your waiting list: let waiting members know about openings or alternatives
How to message members from the diary
Open your Diary in ClubRight
Click the activity you want to message about to open its Activity Details screen
In the action bar near the top of the page, choose the messaging option you need
Write your message and send
Note: each messaging option is only available when there are people in that category. For example, Message Checked-In is greyed out until at least one member has checked in to the class, and Message Waiting List is greyed out unless the waiting list has someone on it.
Your four messaging options
Message All
Send a message to everyone currently booked into the class. This is useful for:
Letting attendees know about a last-minute change (instructor swap, room change, time change)
Asking them to invite friends or family along to fill remaining spaces
Sharing information unique to that session (a guest instructor, a special theme, a one-off format)
✅ You do not need to send booking reminders manually: ClubRight sends automatic reminders to booked members before their session, so Message All is for additional context beyond the standard reminder.
Message Checked-In
Send a message to the people who actually checked in to the class. Useful for post-session communication, such as:
A thank-you note for attending
Asking for feedback on the specific session
Sharing follow-up content (a stretch routine, recipe, recovery tips)
Promoting the next session in the same series
Message Waiting List
Send a message to members currently on the waiting list for the class. Useful for:
Letting them know a space has opened up
Suggesting alternative sessions they could book instead
Updating them on whether the waiting list is moving
Apologising if the class is full and managing expectations
Message Previous
Send a message to members who attended this class in the recent past, even if they are not currently booked into the next session. Useful for:
Inviting them back to a session they have not booked yet
Encouraging members who have lapsed from a regular class to return
Filling quiet sessions by reaching the people most likely to attend
Promoting changes to the class (a new instructor, time, or format)
💡 Helpful tip: diary-based messaging is best when your message is about that specific class. For broader campaigns (a new membership offer, a seasonal promotion, a club-wide announcement), use the Group Messages wizard with proper filtering instead.
