When you need to follow up directly with one member, ClubRight lets you send a bespoke message straight from the Contacts area. This is the right route for one-to-one communication: a personal check-in, a quick reminder, or a tailored response. For messaging many members at once, use the Group Messages wizard instead.
When to use this
Sending an individual message is the right approach when you want to:
Personally follow up with a specific member
Send a reminder, update, or check-in
Communicate one-to-one with a tailored message
All sent messages and replies are stored against the member's profile for future reference.
Opening the message composer
Go to Contacts
Find the member you want to message and click on their record. Their profile peek panel will open on the right.
Click Message from the list of options
The "Send a message to this member" composer will open as a two-step wizard.
Step 1: Write your message
Under How are you sending this?, pick one delivery channel:
Email: rich HTML message with subject line, images, and formatting
SMS: text message sent to the member's mobile number (requires an active SMS bundle)
Push: instant notification on the member's phone via the ClubRight app
Smart: email with push notification fallback for best reach. The message is sent as an email, with a push notification used as backup to make sure the member sees it.
Welcome screen: displayed on your check-in screen when the member arrives at your club
Then compose your message:
Subject: add a subject line (used for email sends)
Message: write your message in the rich-text editor. You can format text, add images, link to external content, and more.
Insert personalisation: add member-specific fields like First name, Membership number, or Title to personalise the message. Click More for additional personalisation fields.
The preview pane on the right shows how your message will appear as you compose. When you are done, click Next: Review.
Step 2: Review and send
The review step gives you a final look at your message before sending. Confirm everything looks right, then choose when to send:
Send immediately: the message goes out as soon as you confirm
Schedule for later: queue the message to send at a future date and time
Note: the option to schedule messages for later is available on specific packages only.
See Send messages later: scheduling group or individual messages for more on scheduling.
Finding replies
When the member replies, the reply appears in the Conversations section within Communication:
Click the burger menu in the top left
Click Communication
Select Conversations
The full history of messages with that member is also visible on their profile.
