GoCardless is one of the Direct Debit providers integrated with ClubRight. This article explains how GoCardless works in ClubRight, including timings, notifications, and how to manage Direct Debit mandates day to day.

How GoCardless works in ClubRight
With your GoCardless account connected to ClubRight:
Direct Debit mandates are set up through ClubRight when members join
Collections run automatically on the dates configured for each member
Funds are paid into your business bank account, typically 2 working days after collection
Mandate and payment status, history, and reporting are visible inside ClubRight, so day to day you do not need to log into the GoCardless dashboard
For new mandates, allow 4 working days before the first collection can be taken. This is the standard UK Direct Debit Advance Notice Period.
Cancelling a Direct Debit
You can cancel a member's Direct Debit in two ways, depending on whether you want to keep the mandate live for future use:
Cancel the membership only, keep the mandate: useful if the member might rejoin in the future, so they do not need to provide their bank details again
Cancel the membership and the mandate: if you do not expect the member to return. They will need to provide their bank details again if they rejoin in the future.
Note: allow 4 working days notice to ensure a Direct Debit payment can be cancelled before it is processed.
Missed payments
Missed Direct Debit payments are chased by you, the club, rather than by GoCardless. GoCardless is a payment collection service, not a debt collection service. ClubRight will alert you to all missed payments through the dashboard, so you can follow up with members directly.
Notifications
Notifications you receive from GoCardless
By default, GoCardless will email you when:
A new member completes their mandate authorisation
A member's payment fails
A member's payment is cancelled
A member's mandate is cancelled
A created payment exceeds the transaction limit (typically £5,000)
Each day a payout is due
ClubRight also shows missed payment alerts on your dashboard, so you can act on them without logging into GoCardless.
Notifications your members receive from GoCardless
Members will receive an email notification from GoCardless when:
They authorise a Direct Debit
They authorise or are assigned to a subscription or plan
Three working days before a one-off payment is charged
A payment of theirs fails
A payment of theirs is cancelled
Their mandate is cancelled
Customising your notifications
To customise email notifications, log into your GoCardless dashboard, go to Settings > User Settings, scroll to Email notifications, and tick the options you want. Some notifications, such as payout emails, are sent regardless of these settings.
Payout emails are sent to a single address (by default the first administrator of the account). To send payouts to a different address, update the Billing contact details in the Company details section of GoCardless Settings.
