Configuring your messaging settings

How to configure incoming notifications, send windows, message review, automatic messages, and signatures in your Messaging Settings.

Your Messaging Settings page is where you control how communication with members works in ClubRight: who gets notified when members message you, when outbound messages are allowed to send, whether to review automated messages before they go out, and what signature appears at the end of your outgoing communications. This article walks through each of those settings.

Opening the Messaging Settings page

  1. From the burger menu, click Settings

  2. Under Communications, select Messaging

All settings on this page save automatically. You will see an All changes saved confirmation at the top right whenever a change is made, so there is no Save button to click.

Incoming messages

Two-way messaging in the Member App

The toggle at the top of the page, Can members message you through the app?, controls whether members can send messages to your club from inside the Member App. For full detail on what this feature does and when you might want to turn it off, see Two-way messaging in the Member App.

Email managers when members message

Under Who sees incoming messages?, turn on Email managers when members message to have Managers and Owners receive an email whenever a member sends an inbound message.

This ensures the relevant team members are alerted promptly, even if nobody is actively logged in to ClubRight at the time. The notification email lets recipients quickly review and respond to incoming messages from members without having to keep an eye on the Conversations section themselves.

Forwarding incoming messages to an additional email

If you want a copy of every incoming message sent to an additional email address (for example, a shared support inbox or an admin who is not a Manager or Owner in ClubRight), enter the email address in the Also forward messages to field. A copy of every incoming message will be sent to this address in addition to the standard notifications.

This is useful when communication oversight sits with someone outside the main ClubRight team, or when you want a permanent record of inbound messages in a separate inbox.

Outgoing messages

Setting your send window

Under When should messages go out?, you can set the time window during which outbound messages are allowed to send. Use the Send between start and end time pickers to choose the window (the default is 08:00 to 23:00).

Any message queued outside these hours waits until the next available window opens. This is useful for keeping your communications from arriving at unsociable hours, and for confining marketing or automated sends to appropriate times of day.

Reviewing messages before they send

Turn on Review messages before sending if you want automated and bulk messages to land in an approval queue rather than sending directly. With this enabled, each automated or bulk message waits for your sign-off before it goes out.

This is useful for clubs that want a final eyes-on review of every outgoing communication, particularly while setting up new Smart Workflows or when a new team member is configuring sends.

Turning off automatic messages

⚠️ Use with care: the Turn off automatic messages toggle stops all system-generated emails (reminders, confirmations, booking notifications, and similar). This is a global kill switch. With it on, members will not receive any of the operational emails that ClubRight normally sends on your behalf, which can significantly affect their experience.

Most clubs leave this off. Only turn it on if you have a specific reason to suppress automatic communications, such as during a major data migration or while reconfiguring a new setup, and remember to turn it back off when you are finished.

Your message signature

Under What goes at the end of messages?, enter the signature you want appended to every outgoing message. The default is your club name, but you can change it to anything appropriate, for example a more formal sign-off ("The team at [Club Name]") or a friendlier closer ("Catch you in class"). The same signature is added to all your outbound messages from ClubRight.
