Limiting how often a member can visit

Cap how many times a member can check in within a set period, to help prevent membership sharing.

You can limit how many times a member checks in within a set period. This helps prevent membership sharing, where one person's credentials are used by several people, by capping repeat entries. By default, members are limited to two visits in 24 hours. You can set this club-wide, and also set a separate limit on individual membership plans.

Setting a club-wide visit limit

  1. Go to Settings > Your Club > Club Access.

  2. Find the section How many people can be in at once?, which includes the visit-limit setting.

  3. Under Limit how often members can visit, set the number of visits to Allow, and the number of hours the limit applies over. For example, allow 2 visits per 24 hours, or 20 visits per month.

  4. Click Save Changes.

If a member exceeds the allowed number of visits in that period, they are blocked from their next entry. They see the message "Club Access Limit reached, please chat to a member of staff", and a notification shows on your admin dashboard so your team is aware.

Setting a visit limit for a single plan

You can also set a visit limit on an individual membership plan. This is a separate check from the club-wide visit limit, which always uses your club's numbers. A plan limit is useful if you want to sell a lower-priced plan with fewer visits, or a fixed-visit plan such as a "10-visit plan".

  1. Go to Settings > Membership Plans and select the plan you want to edit.

  2. Open the plan's Restrictions settings.

  3. Set the number of visits and the frequency.

  4. Save your changes.

💡 Note: Visit limits are one of several tools for tackling membership sharing. For the full picture, see Preventing access abuse and credential sharing.

Can I limit how long a member stays?

Yes. You can set a maximum visit length for your club, and choose what happens when a visit runs over. This is a club-wide setting, so you can't set a different length for each membership plan.

  1. Go to Settings > Your Club > Club Access.

  2. On the Check-in options card, find How long can they stay?. Enter a number and choose Minutes, Hours or Days.

  3. Under When visits end, set the options you want:

    • Remind them to check out: sends the member a text if they forget to check out after the maximum visit time.

    • Auto check-out: ends the visit after the maximum visit time, which keeps your reports accurate.

  4. Click Save Changes.

⚠️ Note: Always click Save Changes, even if the header already shows All changes saved.

Why can a member pass their QR code back to let someone else in?

This is deliberate. The visit limit is built so that a faulty reader, or one that reads a code twice, never locks a genuine member out. Two fixed rules make that work, and on a single reader they can let a second person in.

  • The 5-minute rule: a visit that's finished (checked in and signed out) in under 5 minutes doesn't count towards the limit. A visit with no sign-out always counts. On a single reader, the member's next scan after 2 minutes signs them out.

  • The 2-minute rule: for 2 minutes after a member checks in, any further scan re-opens the gate and shows the welcome screen. Nothing is checked and the visit doesn't change. The 2 minutes run from the check-in time, not from the latest scan.

An example

  • 0:00 – the member scans. They're checked in and the gate opens.

  • 1:30 – they scan again. The gate re-opens.

  • 3:00 – they scan again. This signs them out, the screen says Goodbye and the gate opens.

That's one visit lasting 3 minutes, so it doesn't count towards the limit. All three scans opened the gate. This means that on a single reader, a member who keeps alternating check-in and sign-out can let other people in.

What do the records show?

A check-in and its sign-out show as one visit with a length, for example Visit for 3 minutes. Where the Welcome Screen controls a gate, a re-open also leaves an activity line saying the gate was re-opened (duplicate scan ignored).

Nothing marks which visits counted towards the limit. You can tell by the length of the visit: anything finished in under 5 minutes didn't count.

Where does the visit limit apply?

  • Every scan through the ClubRight Welcome Screen, including a front-desk scanner, Nortech gates, and Paxton doors opened by the Welcome Screen.

  • When staff check a member in from the dashboard.

  • When staff tick a member into a class. The visit is counted and staff are told, but the member is never refused.

It doesn't apply to Paxton keypad PINs, or where Paxton readers check synced fobs themselves. It only applies when Access Control is switched on, and it never applies to staff.

Can I change the 5 and 2 minutes?

No, the 5-minute and 2-minute rules are fixed. You choose the number of visits and the number of hours. The default is 2 visits per 24 hours.

Do plan visit limits stop pass-back?

No. Plan-level limits, such as 8 visits a month, count every check-in, however long it lasts. Re-opens and sign-outs don't use up a visit, so passing a code back gets past these limits too.
