Membership plan types: which plan type is right for your gym

An overview of every membership plan type in ClubRight, from rolling monthly to day passes, to help you choose the right setup.

When you create a new membership plan in ClubRight, the first step is choosing a plan type. Each type sets sensible defaults for pricing, duration, and payment collection that you can then customise. Choosing the right type from the start saves time and avoids configuration errors later.

⚠️ Note: For a step-by-step guide to creating a membership plan, see Creating your first membership plan.

Monthly Rolling

The most common plan type. Members pay a fixed amount each month and can cancel at any time. There is no fixed end date; the membership continues until the member or your team cancels it.

Best for: standard gym memberships where flexibility is important to members.

Typical setup: monthly payment, rolling renewal, payment collected on a fixed day each month.

Monthly Contract

Members pay monthly but are committed to a fixed contract period, for example 12 months. Payments continue each month for the length of the contract. At the end of the contract, the membership can end automatically or roll over into a rolling monthly arrangement.

Best for: gyms that want to lock in member commitment for a set period while spreading payments monthly.

Typical setup: monthly payment, fixed contract length (e.g. 12 months), ends automatically or rolls to monthly rolling at expiry.

Annual Membership

Members pay the full membership fee in a single upfront payment. The membership runs for the contract length (typically 12 months) and then ends automatically. There are no recurring payments.

Best for: members who prefer to pay once and gyms that want to offer an upfront discount.

Typical setup: single payment, 12-month contract, ends automatically. Always set the contract to end automatically; without this, a single payment creates an open-ended membership.

💡 Tip: Set up a renewal window so members can purchase a new plan before their current one expires, without any gap in membership.

Weekly

Members pay weekly on a four-week rolling basis. The membership continues until cancelled, similar to Monthly Rolling but with weekly payment collection.

Best for: gyms that want to offer a lower upfront commitment, or members who prefer weekly budgeting.

Typical setup: weekly payment, rolling, payment collected on the same day each week.

Day Pass

A single visit or day access plan. Members pay once for access on a specific day. There is no recurring payment and no ongoing membership.

Best for: casual visitors, trial sessions, or gyms that want to offer pay-as-you-go access alongside regular memberships.

Typical setup: single payment, one-day contract, ends automatically.

When does a day pass run out?

A day pass covers the calendar day it starts on, until midnight club time. It isn't 24 hours from when it was bought, so someone who buys a pass at 7pm gets the rest of that evening, not until 7pm the next day. There's no option to make a pass last 24 hours or start on the member's first check-in.

In practice, the welcome screen, the app QR code and staff check-in still let the member in until the overnight update runs, at about 2:30am UK time. If your doors use Paxton Net2, the door stops letting them in shortly after midnight.

  • Class bookings: members can book a class later the same day with their pass, but not on a later date. That needs credits or payment as normal.

  • In the app: the pass shows as active, with its QR code, until the overnight update runs.

  • Bought online: members can't choose a start date, so a pass bought online starts the day it's bought. Staff can set a later start date when adding it from the member's profile. You can also set an Earliest Start Date on the plan, but that applies to everyone who buys it.

💡 Tip: If your plan description tells members the pass starts when they first check in, or lasts 24 hours, update it so it matches how day passes work.

Can someone still book with their credit after their day pass ends?

Yes. Credits from a credit pack are separate from the day pass. They can still be used after the pass has ended, for the classes the credit pack covers.

After the pass ends, the member can still see the timetable in the Member Area. The credits button on the timetable shows how many credits they have left.

When they book a class the pack covers, the booking window says "Booking this session will use 1 of your available credits". The booking goes through the basket at £0.00, and their credits go down by one.

If they cancel the booking before your club's cancellation deadline, the credit comes back.

💡 Tip: If the member's profile is missing details your club asks for, they're asked to fill in Confirm Your Details before their booking goes through.

Can a day pass include classes and be sold online?

Yes. Any plan, including a day pass, can include activities such as classes, and can be shown on your online joining page.

  1. Go to Settings > Membership Plans and open the plan.

  2. Open Included. Under Included Activities, select Include Activities and tick the activities the plan covers.

  3. Open Availability and set Plan Availability to In-Club + Online so the plan shows on your joining page.

  4. Click Save Changes.

You can also offer a product as an extra when someone joins. On the product, under Who can buy it?, set Bolt-on to One off (on joining), Monthly or Weekly. Leave it as Don't offer if you don't want it offered as a bolt-on. See Creating and setting up products.

How do I give a prospect a free day pass or free trial week?

Use the Day Pass plan type with the price set to £0, then edit the plan to set how many days it lasts, for example 7 days for a free trial week. Leave it as In-Club Only so it isn't shown in your Member Area, and staff can give it to prospects after a tour.

This works for a free day pass, a complimentary pass or a free trial, including a one time offer to encourage someone to join. Because nothing is charged, ClubRight doesn't take a payment when you add it.

  1. Go to Settings > Membership Plans, click New Plan and choose Guided Setup.

  2. Choose the Day Pass template.

  3. Give the plan a clear name, for example "Complimentary Trial Week", and click Next.

  4. Set the Day Pass Price to 0 and click Next.

  5. Leave In-Club Only selected under How should members be able to get this plan? and click Next.

  6. Leave the payment methods as they are and click Next. No payment is taken on a free plan.

  7. For gym access only, leave every option on the Included step as None and click Next.

  8. Check the review screen says "This plan is free (no payment required)." and click Create Plan.

Make the pass last longer than one day

A Day Pass is created with a one-day contract. To make it a trial week, or any other number of days:

  1. Open the plan from Settings > Membership Plans.

  2. In Duration, set Contract Length to the number of days you want, for example 7, and choose Days.

  3. Leave Contract Type as Ends automatically, so the pass stops on its last day.

  4. In Availability, set Purchase Limit to One-time Only so a person can only have the pass once.

  5. Click Save Changes.

Give the pass to a prospect after a tour

  1. Open the prospect's profile and click Add membership.

  2. Choose your free pass plan and work through the steps.

  3. On the last step, check it says "Payment skipped — this is a free plan." and shows the contract length you set, then click Start membership.

⚠️ Note: This gives gym access only. If you want to give a prospect a free class instead, see Giving a member a free session.

⚠️ Note: A free pass is a membership in ClubRight, so prospects on it are included in your member reports, such as New Members, Active Members and Plan Breakdown. Plan Breakdown lists them under the free pass plan, so you can see how many you've given out.

Shared membership

A shared membership allows multiple people to be linked under a single plan, with all payments collected from the lead member's account. This is ClubRight's equivalent of a joint or family membership.

Best for: couples, families, or corporate accounts where multiple people share one membership.

How to set it up: when editing a plan, go to the Availability section and select Shared under Membership Type. A Maximum Members field will appear. Enter the total number of people who can share the membership, including the lead member. For example, set this to 2 for a couple or 4 for a family of four.

Pricing: the plan price should cover all members. For example, if the individual rate is £30 per month, a two-person shared plan should be priced at £60 per month.

Adding shared members: add additional members from the lead member's membership, not from their own profiles. You can do this in two places:

  • When adding the membership: for a shared plan, the New membership wizard includes an Add members step. Use Search for a member to add... to find and select each additional member.

  • After the membership has started: go to the lead member's profile, click Manage & view details on the membership tile, scroll down to Members on this plan, and use Search for a member to add... to find and select each additional member.

The search finds people who are already in ClubRight, so add the additional member as a contact first if they don't have a profile yet. Don't add the shared plan from the additional member's own profile, as this starts a separate membership with them as the lead.

Removing a shared member: go to the lead member's profile, click Manage & view details on the membership tile, scroll down to Members on this plan, and click Remove next to the member. Click Yes, remove to confirm.

Changing who pays: the lead member can't be changed, and payments are always collected from the lead member's Direct Debit. See How do I change who pays on a shared membership?

⚠️ Note: Shared memberships can be sold online or in club, but linking additional members to the lead must be done manually by staff. Additional members cannot link themselves through the Member Area.

⚠️ Note: If an additional member shows as a Prospect with Ready to become a member on their profile, they haven't been added to the shared membership yet. Once they've been added, the shared membership shows on their profile.

Can each person on a shared membership see the other's profile in the app?

Not from the shared membership itself. Each person has their own profile and login. In the Member Area, the lead member's Manage My Membership page shows the shared membership with the names of everyone on it, but there's no button to open or switch to the other person's profile from there.

If both people use the same email address, for example a couple sharing one, that login can switch between the profiles. Switch Club lists every profile that uses the email, with each person's name and membership number, so they can move between them.

When a member books a class, the booking is for the profile they're using. There's no option on the booking to book for the other person on the membership, so they switch profile first or staff book them in.

Custom

For anything that doesn't fit the templates above. The Custom type gives you full control over all plan settings without any pre-populated defaults. Use this for unusual payment structures, multi-tier plans, or highly specific access rules.

Best for: experienced ClubRight users who need a configuration not covered by the standard templates.

Which type should I choose?

If you are unsure, start with Monthly Rolling. It suits most gym memberships and is the simplest to set up and manage. Move to Monthly Contract if you want to lock members into a minimum term, or Annual Membership if you want to offer an upfront payment option.

💡 Helpful tip: You can run multiple plan types at the same time. Most gyms offer a rolling monthly plan alongside an annual option, giving members the choice of flexibility or a discounted upfront rate.
