Freezing a membership puts it on hold. All future payments are skipped for the duration of the freeze, and the membership does not progress. When the freeze ends, payments resume as normal. This is useful for members who are injured, travelling, or taking a temporary break.
How to freeze a membership
Click Contacts in the left-hand menu and select Members.
Find the member and click their card to open the quick panel, then click Full profile.
On the member's profile, click the membership tile (for example, Rolling Monthly (Active)) to open the Manage Membership panel.
Click Freeze.
Set the From date. This defaults to today.
Set the Until date, or leave it blank to freeze the membership until you reinstate it.
Click Freeze now.
Once frozen, all future payments are skipped. What happens next depends on the Until date:
Until date set: collections resume when the freeze ends. You don't need to do anything.
Until left blank: payments will not resume until you reinstate the membership.
⚠️ Note: Frozen memberships appear under the Frozen status filter on the Members page, making them easy to find when it is time to reinstate them.
Does a freeze end by itself on the Until date?
Yes. A freeze with an Until date ends automatically overnight, in the early hours of the Until date, so the membership is active again on that day. You don't need to reinstate it.
When the freeze ends, the member is sent an automatic email saying "Your membership with [your club] has been REINSTATED", and it shows in the Messaging card on their profile. Payments then carry on as normal.
💡 Tip: Because the membership is active again on the Until date, set Until to the day the member is coming back, not their last day away.
How to end a freeze early
Go to Contacts > Members and filter by Frozen to find the member.
Open the member's full profile and click the membership tile to open the Manage Membership panel.
Click Reinstate (end freeze).
When asked End the freeze now?, confirm.
The membership becomes active again and payments restart on their normal schedule.
Can I change or cancel a freeze?
Yes, if the freeze hasn't started yet. Once a freeze has started, you can't change its dates or remove it. You can only end it.
Freeze not started yet: click Change dates to edit the From and Until dates, or Cancel freeze to remove it.
Freeze already started: click End freeze now to end it today.
To add a further freeze to the same membership, click Add another freeze.
Does freezing extend a fixed-term membership?
No. Freezing and reinstating a fixed-term membership that was paid upfront doesn't move its Contract end date. If you want to give the member back the time they were frozen, extend the contract yourself.
Open the member's profile and click the membership tile to open the Manage Membership panel.
Click Edit contract.
Enter the number of days in Extend by [ ] days and save.
Member-initiated freeze requests
If you have enabled cancellation and freeze requests, members can submit a freeze request themselves through the Member Area. These requests appear under Contacts > Members in the Freeze Requests filter for your team to review and action, and each one also adds a task to the member's profile.
To enable this, go to Settings > Member Area > Access & Registration and toggle on Enable cancellation/freeze requests. The reasons, terms and freeze duration limits members see are set in Settings > Finance & Billing > Cancel & Freeze Requests.
Once you've frozen the membership, mark the request's task complete so the request no longer shows an X. See How do I mark a cancellation or freeze request as done?
💡 Tip: If you know in advance how long a member will be away, set both the From and Until dates when freezing so the freeze period is clearly defined.
