Till and point of sale overview

How to use the ClubRight till: starting a sale, taking payment, applying discounts, and completing the sale.

The till is where you sell products, take payments, and apply discounts in club. This guide covers starting a sale, building an order, taking payment by each method, applying a discount, and completing the sale.

Opening the till

Open the Till from the Operate section of the main menu on the left. You can also reach it from a member's profile by clicking Sell, which opens the till with that member already attached.

The till shows who is operating it next to Operating as at the top. The opening screen lets you resume an active sale or start a new one.

Starting a sale

To start a new sale, choose who it is for:

  • For a member: use Find a member and select them, or start from their profile with Sell.

  • For a non-member: choose Guest sale (no member). You can still attach a member later using the Search members box at the top of the order.

If there are unfinished sales, you can pick one up again from Resume an active sale.

Building the order

  1. In the Products panel, tap a category (such as Drinks or Food) or a product tile to add it to the order. Products that are out of stock show an OOS badge.

  2. The Order panel on the right lists what you have added. Use the plus and minus buttons to change the quantity, or the cross to remove a line.

  3. When the order is complete, click Take payment.

To add more products after moving to the payment step, click Add more items at the top to return to the products on the same sale.

Taking payment

At the How are they paying? step, choose a payment method:

  • Cash and Cheque record the payment against the sale.

  • PDQ sends the transaction to your ClubRight Pay Card terminal, if you have one connected. If your card machine isn't connected to ClubRight, PDQ records a payment you take on it instead.

  • Card charges a card stored on the member's profile. If no card is stored, a Card Payment window appears so you can send the member a secure payment link (Send via Email or Send via SMS, using the details on their profile) or show a QR code they can scan to complete the checkout themselves.

  • ePoints redeems the member's ePoints balance against the sale.

  • Discount applies a comp or write-off, covered in the next section.

To take payment across more than one method, click Split this payment. The Payments list shows what has been collected and the Remaining balance updates as you go.

How do I take cash and give change?

The till records a cash payment at the sale total, not the amount the customer hands you, so you work out the change yourself. For example, if a sale comes to £7.50 and the customer pays with a £20 note, record £7.50 in cash, put the £20 note in the drawer and give £12.50 change.

  1. Build the order and click Take payment.

  2. At How are they paying?, click Cash. The tile shows the amount it will record, for example "Take £7.50 in cash".

  3. The payment appears in the Payments list and Remaining drops to 0.00.

  4. Give the customer their change: the amount they handed you minus the sale total.

  5. Click Complete Sale, confirm at the Ready? prompt, then choose Email receipt or No receipt.

Because the sale is recorded at the sale total, your cash drawer and your reports match once the change is given. Till sales are listed under Payments > Transactions.

⚠️ Note: You can't type in the amount the customer hands over (for example, a £20 note on a £7.50 sale). The keypad only accepts up to the amount still left to pay, and the till doesn't calculate change for you.

How do I type in an amount by hand?

To take part of the balance in cash and the rest another way (sometimes called manual input), type the amount on the keypad. For example, if a £20.00 sale is paid with £5.00 cash and the rest by card:

  1. At How are they paying?, click Split this payment.

  2. Click Clear, then type the amount on the keypad, for example 5.

  3. Click Cash. The payment appears in the Payments list and Remaining shows what is left.

  4. Choose the next payment method for the rest of the balance.

  5. When Remaining reaches 0.00, click Complete Sale.

If you record a payment by mistake, remove it with the cross next to it in the Payments list.

How do I record a payment taken on a card machine that isn't connected?

If your card machine isn't connected to ClubRight, take the payment on the card machine as normal and record it at the till with PDQ. The amount isn't sent to the card machine, so make sure you enter the same amount on both.

  1. Build the order and click Take payment.

  2. Click PDQ. The tile shows "Record £X taken on card machine".

  3. Take the payment on your card machine for the same amount.

  4. Click Complete Sale and confirm at the Ready? prompt.

To check whether you have a card reader connected to ClubRight, go to Settings > ClubRight Pay and look under Card Readers.

A card payment link sent from the till by email, text or QR code stays valid until the sale is voided or a new link is sent for the same sale. Sending a new link switches off the old one.

Other payment links work differently:

  • If your club takes online card payments through Stripe, the card payment page a member reaches by pressing Pay closes 24 hours after it opens.

  • The Payment card request email, which asks a member to add or update their card, doesn't expire. It takes them to their My Profile page, where they sign in and add a card.

  • Direct links to a membership plan, activity or class don't expire. A class link stops taking bookings once the class has passed or is full.

If a member says their payment link has stopped working, open the till, click All under Resume an active sale, open their sale and send a new card payment link. If the sale isn't in the list, it has been voided, so start a new sale.

Applying a discount

A discount is applied at the payment step, as one of the options alongside the payment methods.

  1. Click Discount (labelled "Comp / write-off").

  2. In the Apply discount window, choose a Discount Type: £ Fixed amount to take a set amount off, or % Percent to take a percentage off.

  3. Enter the value using the keypad. The window shows a live summary, for example "Applying £2.00 off the order", so you can check it before confirming.

  4. Click Apply discount.

The discount is taken off the order and the remaining balance updates. You can then take payment for the rest of the balance by another method.

💡 Tip: To discount the whole order (a complimentary item or a write-off), apply a discount equal to the order total. The balance drops to zero and you can complete the sale without taking a payment.

Completing the sale

Once the balance is covered, whether by a payment, a discount, or both, the sale shows as Fully paid. Click Complete Sale, confirm at the Ready? prompt, then choose to Email receipt or finish with No receipt. If a member paid on your ClubRight Pay Card terminal, their receipt has already been emailed automatically, so you won't be asked.

Can the till send receipts automatically?

Yes, for members who pay on your ClubRight Pay Card terminal. When you take a member's till sale with PDQ on a connected ClubRight Pay Card terminal, ClubRight automatically emails the member a receipt once the payment goes through, as long as they have an email address on their profile. Nobody needs to click anything. The till doesn't offer Email receipt for these sales, because the receipt has already been sent.

For cash and other till payments from members, the till shows Sale complete and asks Send a receipt?. Click Email receipt to email it, or No receipt to finish without one.

Guests (walk-ins) aren't emailed a receipt automatically. To be asked whether to email a receipt after a guest sale:

  1. Go to Settings > Your Club > Apps & Widgets.

  2. On the Till receipts card, turn on Offer email receipts on guest sales ("After a guest sale, ask whether to email them a receipt.").

Using the full-screen till

As well as the till inside ClubRight, there is a full-screen till designed for touchscreen monitors, which opens in its own browser tab. It is a good choice for a dedicated point of sale at reception, where you want a clean, full-screen view for selling products, taking payments, and managing walk-ins.

To open it, go to Settings, then Your Club, then Apps & Widgets. Under Tools for your front desk, find Full-screen Till and click Open. It opens in a separate tab, so you can keep the rest of ClubRight open alongside it.

Other things you can do at the till

Void a sale

To cancel a sale entirely, click Void in the order header. This clears the whole order without taking payment. Use this when a sale has been started by mistake or the member changes their mind before paying.

How do I empty a member's basket or clear a pending sale?

A member's basket in the app or Member Area that they didn't pay for shows at the till as a pending sale. To empty it, void that sale: go to the till, click All under Resume an active sale, find the member's sale and click the cross (×) on it. Voiding a sale cancels it without taking payment. Owners and Managers can void any pending sale; other staff can only void sales they started themselves.

A pending sale is one that was started but never completed. For example, a membership payment that was never paid, or a member's checkout in the app or online that didn't go through. The till shows pending sales from earlier days and sales started by someone else, as well as your own. If a pending sale has nothing paid on it and nobody opens it for 2 days, ClubRight voids it automatically overnight. Opening the sale at the till starts the 2 days again.

  1. In the left-hand menu, under Operate, click Till. If the menu only shows icons, hover over it to see the labels.

  2. If the till opens on a sale, click Back to active sales at the top right, or Switch Sale.

  3. Under Resume an active sale, click All. The Mine tab only shows sales you started.

  4. Find the member's sale. Each row shows the member's name and number, what's in the sale, the amount and who started it. A sale the member started themselves shows their own name after "by".

  5. Click the cross (×) on the right of the row, then click Yes, void it.

The sale disappears from the list. A voided sale can't be reopened, so if the member still wants to buy, start a new sale.

⚠️ Note: If there's no cross on the sale, your login can't void it. Ask an Owner or Manager to clear it.

If the till won't void a sale, the member may still have their card payment page open. It can stay open for up to 24 hours, so try again later.

If you can't delete a member and ClubRight says This member has a payment in progress, the member is part-way through paying online. For example, their card payment page is still open, or a saved card is being charged. An ordinary pending sale at the till doesn't cause this, so there's nothing to void. Try deleting the member again later. If the message is still there after 24 hours, click the chat button to speak to our team.

Switch to a different till operator

Only Owner logins (and above) can swap the till operator. Managers and other staff don't see Swap operator and can't change the operator, so each sale they take is recorded against the person logged in.

If you're logged in as an Owner, the till's opening screen shows Operator: with the current operator's name. To change to a different staff member, click Swap operator, then in the Select operator window choose the staff member operating the till for this sale. This keeps each sale recorded against the right person.

If you're logged in as a Manager or other staff member, the till header shows Operating as with your own name. If a sale needs recording against someone else, that person can log in and take the sale themselves, or an Owner can swap the operator.
