You can change the date a member's Direct Debit is collected by cancelling their current plan and re-adding the same plan with a new start date. This applies to members paying by ClubRight Pay or GoCardless.
Note: For members paying through Harlands or DFC, you cannot change the date in ClubRight. Contact those organisations directly to make the change.
Important: If the member's next Direct Debit is less than 4 working days away, you cannot do this yet. Wait until that payment has cleared before changing the date, otherwise you risk collecting twice or missing a payment.
Note: Changing a Direct Debit date works by cancelling and re-adding the plan, so the member keeps the same plan on a new schedule. The Edit contract option only changes the contract end date, it does not change the collection date.
Step 1: Cancel the current plan from the day before the new date
Open the member's profile.
On the membership tile, click View schedule & details to open the Manage Membership panel.
Click Cancel and set Cancel on to the day before the new collection date. For example, to move the collection to the 1st, cancel on the last day of the month before.
The member keeps their access until that date, and the old Direct Debit stops after it.
⚠️ Note: Don't cancel "now". Cancelling now ends the membership straight away, so the member can't check in until the new membership starts.
Step 2: Add the plan again from the new date
Back on the member's profile, click Add another membership and work through the New membership wizard, selecting the same plan. For full detail on each step, see Manually adding a membership in club.
"They already have this": you'll see this because the old membership is still running until its cancel date. Choose Add it anyway.
Start date: set it to the new collection date.
Collection day: set it to the day of the month you want, for example 1.
Joining fee: the plan's joining fee is added again, so remove it in the payment schedule step.
First payment: before confirming, check the first collection shows on the new date. If it's too soon to collect by Direct Debit, it shows as due instead, and a member who owes money can't check in until it's paid.
The new membership uses the member's existing Direct Debit mandate, so they won't be asked to set one up again.
⚠️ Note: Nothing refunds days the member has already paid for on the old membership. Check the old plan's last payment doesn't cover days the new membership also charges for.
Important: The new payment date must be at least 4 working days away.
Why did the collection date move when I changed a member's plan?
When you use Change plan and the change takes effect Today or on a date you pick, the new plan starts that day and the Direct Debit is then collected on that day each month. It doesn't keep the old collection day, even if the plan is set to collect on the 1st.
To keep the member's collection day, choose Next billing date under When does the change take effect?. The new plan then starts on their next collection date.
